Position Summary

The Manager of Production, Communications and Donor Relations will report to the Senior Executive Director of Communications and Donor Relations. The incumbent will utilize their expertise to support the Development staff in their efforts to raise funds for Columbia University Vagelos College of Physicians and Surgeons by facilitating, administering, and managing multi-media and print productions across a broad spectrum of projects. Production functions will be primarily orchestrated in three key areas: strategic events, the development of fundraising and stewardship materials; and the production and coordination of photo/video/multimedia projects.Production efforts include managing competitive bidding for projects exceeding a pre-determined threshold. The Production Manager must be able to manage many projects at the same time, work beyond the standard 9-5 hours as needed, demonstrate professionalism, diplomacy, and discretion always.

Responsibilities

Strategic Event Production - Facilitate and produce the creative development of event materials (invitations, programs, signage), ensuring that products are delivered in a timely and professional manner. Provide on-site production event support, including setup, managing event materials, AV support, and break down. Manage the production elements for strategic events including the development of event invitations, event programs and other event collateral plus signage and promotional materials such as the development of online event landing pages. Secure event photographers and collaborate with them before, during, and after the event to receive all the required photos and distribute them to the appropriate parties. - 35%

Production of Stewardship and Fundraising Materials - Facilitate and produce all communications vehicles for the Development Department’s fundraising and stewardship needs including fundraising proposals, reports for donors and related fundraising and stewardship materials ensuring that products are delivered in a timely and professional manner. Additionally, work with graphic designers, print houses, and promotional product vendors to ensure quality product on time while achieving significant and measurable cost savings for the Development office. At times, use design programs to develop proposals in-house, laying out text and images in templates. - 35%

Film and Photography Production - Coordinate, schedule, and conduct the photo and video shoots for the Office of Development and CUIMC faculty needed for print media, web-based materials, and high-level donor related events. Research, bid projects, coordinate, and schedule photo and video shoots with outside photographers and film production companies. Secure locations, permits, and approvals. Maintain and update photo and video archives for the Office of Development and provide staff with high-resolution photos as needed. Hire outside photographers and film production companies to execute these shoots, as well as coordinate shoots with internal team members. Schedule interviews, secure locations, acquire approvals and all the necessary permits to execute these shoots. - 20%

Provide general support to the Office of Development as needed. - 10%

Minimum Qualifications

  • Bachelor’s degree or equivalent in education and experience required, plus three years of related experience.

Preferred Qualifications

  • Previous experience in medical and/or education fundraising and development experience is preferred.
  • Familiarity with SharePoint.
  • Strong proofreading and editing skills.
  • Client relations/customer service skills.
  • Experience using Photoshop and/or Illustrator.

Other Requirements

  • At least three years of post-college graduate production experience.
  • Skilled at graphic and digital design programs such as Adobe InDesign.
  • Strong technical and digital capabilities a must with a focus on photography and videography.
  • Highly skilled at MS Office software.
  • Ability to demonstrate professionalism, diplomacy, and discretion at all times.
  • This position requires work beyond regular hours, including evenings and weekends, as projects and events require.
