Advertising Production Coordinator
Smithsonian Business Ventures, a division of the Smithsonian Institution, is currently seeking an experienced and focused Advertising Production Coordinator to support and assist the Smithsonian Publication's production department in both prepress and post press operations, working directly for the Director of Manufacturing (DM).Major Duties include, but are not limited to, the following:•Input advertising insertion orders into a proprietary ad management database for three SBV publications. •Follow up with our NY advertising office and outside sales reps to secure materials in a timely manner.•Work with the Prepress Director to process and preflight digital ad material. This will involve much attention to detail, ensuring that the ad material sent to us matches the insertion order and all requirements in the insertion order are met.•Work with the Prepress Director as the issues are being laid out to make sure that all advertising requirements are being met.•The incumbent will work with the Post press Director to ensure that the tear sheets and copies of the magazines that are sent to advertisers are of the best quality possible. •Work with the Post-Press Director to update our bindery instruction process into a new software application in late 2007, early 2008.•Work with Post-Press Director to assist in all finishing instructions that go to the printing plant for the binding of the magazines. This will involve thorough understanding of the advertising requirements and the binding process. We understand that this may be done on the job.•Assist DM on monthly reports which entail helping the DM code invoices from the printer and paper supplier, putting these costs into established templates, and forwarding onto the DM for the monthly reports to upper management. •Assumes responsibility for all postal reporting which includes having frequent contact with our Postal Service Rep at the printer to coordinate and traffic all Postal Forms for each mailing for all titles. The data is then put into reports for the DM which some analysis of data is performed and necessary to ensure that the mailings are occurring on time and at a reasonable cost.•Reviews pages for page geometry and consistency which involves becoming very familiar with the layout and design of each publication and reviewing the proofs for consistency relative to image placement, bleeds, etc.•Monthly transfer and backup of digital advertising material. •This job description in no way states or implies that these are the only duties to be performed by the employee(s) incumbent in this position. Employee will be required to follow any other job-related instructions and to perform any other job-related duties requested by any person authorized to give instructions or assignments.Education and Experience:•Bachelor’s degree (B.A. or B.S.) from a four-year college or university or high school diploma or equivalent and at least 2 years of related experience, equipping the candidate with the particular knowledge, skills, and abilities to perform successfully the duties of the position.•Highly proficient in Microsoft Office and QuarkXPress. Knowledge of Adobe Creative Suite, PDF creation/preflighting is expected. Any background with ad management and image databases or Quark Publishing System (QPS) would be helpful.•Basic magazine production and design experience preferred•Ideal candidate will have a keen sense for detail, good mathematical skills, and the ability and willingness to handle several jobs concurrently.
