Job Summary:
Provide strategic oversight of the business and accounting aspects of both the editorial and advertising sides of Preservation magazine, supplying the EVP, Publisher, and Editor-in-Chief with regular reports to help guide business decision-making. Coordinate preparation of the magazine budget with the EVP, Publisher, Editor-in-Chief, and Director of Finance and put systems in place to monitor and provide all of the above with regular updates.


Duties:
Maintain and/or improve systems in place for the following:
BUDGET OVERSIGHT RESPONSIBILITIES
•Responsible for development of yearly advertising and editorial budgets, working closely with EVP, Editor-in-Chief, and Publisher
•Work with Director of Finance, EVP, Editor-in-Chief, and Publisher to monitor budget expenses and revenue throughout the year.

Monitor the impact that online advertising on Heritage Travel Inc.’s website may have on advertising in Preservation.
MANAGE ALL ADVERTISING-RELATED BUSINESS ELEMENTS (E.G., RECEIPTS, DEPOSITS, AND ACCOUNTING)
•Review advertising contracts. Maintain advertiser and agency computer files.
•Prepare monthly invoices, statements, journal entries relating to advertising expenses.
•Track delinquent accounts and follow-up collection process with sales reps assistance. Implement policy for bad debtors.
•Prepare sales reps’ bimonthly commission and reimbursement checks.
•Review monthly advertising printouts and assist publisher with monthly expenses
•Manage all advertising accounts payables and monitor vendor contracts
•Prepare, update, and maintain new advertising accounting procedures manual.

MANAGE ALL EDITORIAL-RELATED BUSINESS ELEMENTS
•Meet with Editor-in-Chief on a twice/month basis to review YTD editorial expenses
•Analyze, review and reconcile monthly editorial financial reports
•Process and pay all freelance writer and photographer invoices.
•Manage, code, and review all editorial accounts payable and monitor all vendor contracts as well as all W-9s
•Assist editorial staff with any accounting/financial discrepancy relating to vendors or contracts

MANAGE KEY ELEMENTS OF CIRCULATION-RELATED BUSINESS ACTIVITIES
•Prepare/review wire transfer for postage for the magazine; prepare, analyze, and review monthly postage and editorial reconciliation
•Manage all sales of back issues for NTHP. Record and process all accounting transactions relating to the sales of back issues. Manage inventory control of back issues and make sure all orders are processed in a timely manner.
•Complete the Mailing Ownership Form in a timely manner; coordinate with the Director of Information and Operations in Membership and the Communications Coordinator in the Office of Media Relations

MANAGE ALL ELEMENTS OF THE CLASSIFIEDS & READER SERVICE PROGRAM
•Manage all aspects of the classified section of the magazine
•Manage the reader service program, getting accurate information from all advertisers

QUALIFICATIONS:
•Accounting degree or equivalent finance experience.
•Minimum of seven years experience in mid level finance position, with previous background in magazine business management a strong plus.
•Proficient in advanced accounting principles, procedures, and terminology.
•Computer literate and expertise a must.
•Strong knowledge of MS Office, MS Word, and Excel required.
•Experience and knowledge of AS400 and Lawson accounting software a plus. Experience in budget development and contract negotiations required.
The position requires strong analytical skills. Must be able to work well with people in a variety of positions. Strong communication and problem solving skills. Able to work under pressure and meet timely deadlines – especially during the closings of each issue of the magazine.
