Job Description

The Child Mind Institute seeks a results-driven Marketing and Outreach Coordinator to support efforts to brand the organization, increase visibility, attract members and clients, and instill a marketing-led ethos through the development and implementation of outreach strategies in line with organizational objectives. The Marketing and Outreach Coordinator coordinates and executes efforts such as school outreach, email marketing for clinical programs, and workshops, professional conferences and other events. The Marketing and Outreach Coordinator will work across the mission areas of the Child Mind Institute with a focus on supporting our clinical outreach efforts.

The position reports to the Assistant Director of Communications and requires the ability to work at evening events.

Responsibilities:
• Assist in development and implementation of marketing plans for internal clients
• Serve as outreach liaison to clinical program: coordinating promotion of the clinical programs and services of the Child Mind Institute.
• Manage events such as monthly parent and educator workshops, receptions, clinical conferences and professional development trainings.
- Assist in preparing and distributing venue RFPs, conducting venue site visits, negotiating contract obligations and benefits for CMI, and developing relationships with local sales representatives.
- Collaborate with the Editorial team and Creative Services Manager to produce event promotional materials, participant handouts, conference programs, and signage.
- Coordinate off-site logistical needs for transportation, reception and dinner venues, tours, etc.
- Facilitate hotel reservations and travel for special guests, speakers, presenters and staff.
- Manage webcast and live chat for workshops.
• Create and execute against email marketing plans including drafting messages, identifying appropriate arc of communication, and maintaining calendar of communications.
• Help to manage the referral database
- Ensure that the school, mental health professional and health professional segments are coded correctly in the database and facilitate communications with them. This includes pulling lists for calls, mailings, and events and working collaboratively to send emails.
- Research individual and company prospects.
- Work with the Outreach team to create new processes and methods to assist in tracking outreach; work with the organization’s database consultant to implement new projects.
• Write Child Mind Institute promotional material, including cultivation letters, marketing presentations, one-pagers, and event descriptions. Work closely with internal departments to develop copy illustrating the impact of the Child Mind Institute’s work and coordinate production and distribution of print and electronic marketing materials
• Create and produce accurate reports and charts in a timely fashion.
• Work with outside partners and vendors as well as internal stakeholders to build lasting relationships.
• Monitor project deliverables and timelines, notify the Assistant Director of Communications when issues arise, and take corrective actions, as needed.
• Other duties as assigned.

Requirements
• BA/BS degree in communications, marketing or related field or commiserate experience.
• 2-4 years related experience in communications and marketing with demonstrated creativity in marketing/communication initiatives and understanding of project management.
• 1-2 years experience planning and marketing organization events.
• 1-2 years experience with email marketing.
• Experience with database operations and maintenance, ideally Salesforce and/or Convio.
• Excellent organizational skills and attention to detail.
• Excellent analytical and research skills.
• Strong written and verbal communication skills.
• Ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
• Ability to take initiative, work independently, and work as a member of a team.
• Knowledge of data management best practices, standards, and ethics.
• Ability to work evenings and weekends.
