Role Summary

AOL is seeking an enthusiastic, energetic and organized part-time intern to serve as a Program Coordinator to the Vendor Onboarding team. This individual will have a critical role in organizing and tracking assets/collateral from vendors and tracking completion. Assists leads with collateral review to ensure proper formatting, completion and approval. Works with program leads to coordinate partner meetings and cadence. Responsible for tracking program completion by vendor – proactively identifying issues before they arise and working with senior team members to solve.

In this role, you’re going to have the opportunity to:
•    Acts as junior level liaison between new vendors and the onboarding team to coordinate calls, meetings and answers basic questions from the internal and external parties.
•    Prepares and/or edits meeting agendas, presentations and tables as needed.
•    Tracks onboarding program status by vendor and category/area. Recognizes when a potential issue may arise – identifies the appropriate vendor lead to inform and assists in solving the issue.
•    Responsible for collection of all marketing and call center support collateral, vendor administrative forms and other types of collateral as needed. Expected to validate accurate completion of information, then organize and file all information received to ensure easy access by multiple stakeholders.
•    Prepares onboarding progress reports by collecting, analyzing, and summarizing data around time lapse from contract execution to completion. Identifies gates or bottlenecks and presents to the team with recommendations for improvement.
•    Facilitates delivery of partner images/videos/other media types – resizing or coordinating with design team as needed to reformat and ensure all logos, images, etc meet the proper format guidelines and requirements.
•    Supports senior staff by providing meeting summations/next steps for larger-scale vendors and tracking any outstanding deliverables.
•    Gathers and customizes all documentation for kickoff calls – assembles agendas and actions – tracks completion of all kickoff activities.
•    Accomplishes onboarding organization goals by accepting ownership for accomplishing new and different requests; exploring and proactively identifying opportunities to add value to the program wherever possible.
•    Captures user flows/experience for new vendors – converts to image style screenshots for use in production.

Requirements for Success:

•    Available to work 15-20 hours per week
•    Basic design skills or experience with Photoshop or other types of image creation programs,
•    Background in UI/UX or web page layout/design
•    Project Coordination/Management experience
