Position Description:
Manage all administrative aspects of the procurement and long-term management of all necessary permissionable materials, including but not limited to photo, text, video, art and illustrations. Manage all administrative aspects of granting incoming requests for permissions. Ensure WHF&W compliance with all rights holder contracts and copyright law.

Major Responsibilities:

• Project Management – manage all permissions procurement for WHF&W publications, assist editorial staff with evaluation and preparation of manuscript for all permissions required, draft permissions request letters, manage photo editors, coordinate with AEs/DEs to ensure efficient workflow and effective documentation. Assist editorial and administration staff in evaluating current status of rights for purposes of making reprint decisions or pursuing international opportunities.
• Manage a staff of four in-house photo editors as well as freelancers used in the process of procuring rights including selecting freelancers and negotiating rates and contracts for each project. Provide oversight of schedule and review of work to ensure it meets company standards. Ensure all records are complete at the end of each project.
• Review contracts to confirm correct rights were granted per project specs. Resolve difficult situations such as when a rights holder doesn’t respond or can’t be located.
• Ensure permission fees are paid to rights holders in a timely manner. Audit projects upon completion to ensure all fees are paid and budget requirements are met.
• Rights keeper Permissions Database – launch and manage a new permissions database that will serve as a centralized rights management tool for both WHF&W and Bedford/St. Martin. Responsible for improvements to the database and training internal staff and freelancers on its use. Review currently in-print projects twice yearly to ensure project is, and will remain, in compliance with acquired licenses.

Required Skills / Knowledge:

• Highly organized and detail oriented
• Strong written and oral communication skills
• Sound and accurate judgment
• Prioritize effectively

Experience Needed:

• 2 years of Management experience
• Publishing experience preferred
• Proficient in Word and Excel
• Experience with database applications
• Knowledge of basic concepts of copyright, permissions and contracts

Educational Background Required:
• Bachelor’s degree
