Cygnus Business Media is recruiting for a Tradeshow Operations Manager for our Arlington Heights IL location. The Tradeshow Operations Manager is the key point person both pre-show, onsite and post-show for all logistics of the tradeshows and conferences Cygnus Business Media produces. The Tradeshow Operations Manager will be the main point of contact for between 5-7 annual tradeshows.
Essential Responsibilities:
•Responsible for planning and organizing on-site details of trade shows and conference programs including but not limited to A/V, room sets, F&B, signage, utilities, move-in/out schedule
•Acting as a liaison with contractors, supplier partners and exhibitors (including electrical, General Service Contractor, internet, A/V, catering, convention services manager, floral, and other suppliers)
•Provide customer service and support
• Point person for assigned shows overseeing all set-up, exhibitor move-in and on-site operational details.
•Responsible for the entire production and continual upgrading of the Exhibitor Services Manual.
•Key liaison between dept positions in pulling all information together and verifying the appropriate and required operation policies and procedures are documented. (i.e., exhibitor manual, show bulletin, etc.)
•Review, update and enforce exhibitor regulations (i.e., contract rules and regulations, design regulations)
•Create budgets for all assigned shows. Key leader in ensuring budgets are adhered to for all assigned events.
•Oversee and coordinate updates to exhibitor service section of show website
•Review and approval of individual booth floor plans
•Provide sales department specific communications/reminders (i.e., no product category, violations, etc.)
•Oversee tracking of exhibitor activities and communication to appropriate parties (i.e., no-shows, early/late entry)
Education and Experience:
•Bachelor’s Degree or equivalent industry experience;
•Four to five years’ experience in tradeshow operations/logistics.
•Certified Exhibitions Manager (CEM) preferred but not required
•Must have experience working with a general service contractor and prior knowledge of tradeshow floor operations.
•Excellent verbal presentation and writing skills.
•Strong problem solving skills
•Ability to adhere to budget guidelines
•Effectively handle multiple projects/demands.
•Strong interpersonal relationship skills
•Strong Planning and organizational skills with great attention to detail
•Proven aptitude for technology and/or software solutions and analytical skills required.
•Computer Skills - Intermediate knowledge of MS Excel, MS PowerPoint, MS Word and Windows operating system. Use of Ungerbock systems (EBMS) is ideal, but not required.
•Ability to travel up to 25%
