Assistant to the Publisher
A. Major RoleThe Assistant to the Publisher is responsible for meeting the day-to-day needs in the areas of administration, organization, and special projects. This role will consist of assisting the company’s Publisher, and at times helping out the CEO and SVP of Brand Development with special projects. This role will require strong project, time management, and communication skills. A good work ethic and the ability to prioritize and communicate will be key to this role.B. Major ContactsThe Assistant to the Publisher (AP) will be assisting the Publisher, and will interact with all company team members in a coordination capacity and as needed.C. Major Responsibilities•Setting up seasonal P&Ls on the server•Setting up title fact sheets•Assisting with contract execution from templates (esp. NDAs & WFHs)•Helping to update schedules for projects•Managing all copyrighting: copyright all previous products then keep copyright up to date on subsequent products•Major filing project to get files into good shape; additional organization projects•Helping to coordinate projects on an as-needed basis•Updating project tracking and concept documents•Providing administrative help with translations and foreign editions, including mailings, filling in contract details, tracking payments for foreign editions, etc.•Being the main contact for the administrative needs of our foreign sales representative•Corresponding with foreign publishers, and managing the work flow of foreign editions under Publisher’s supervision•Handling agendas and meeting minutes as necessary•Assisting with server organization projects (e.g., moving unexecuted projects/ideas from the Signature folder to the Development folder)•Putting a system in place to log and respond to outside submissions.•Coding creative invoices and filling in the Publisher’s budget tracker•Helping with new hire administration (sorting through résumés, being a liaison with search firms, conducting pre-interview phone screens, setting up interviews, etc.)•Assisting with expense reports•Helping to make travel arrangements•Helping to set up meetings with many attendees•Assisting with filing and general organization•Helping editorial to review and proofread specific projects•Assembling packages of materials that need to go out•Shipping/mailing as necessary•Product market research projects•Assisting with correspondence•Office library project•Office product sample projectD. Requirements•Undergraduate degree or equivalent experience.•Ideally 2+ years of experience in administrative assistance and/or equivalent experience in communication, coordination, and organization.•Proficiency in Microsoft Word and Excel.
