Associate, Education & Advisory Group
POSITION SUMMARY: Provide basic support and department/administrative support to the Education and Advisory Group department head and staff. Function as department manager overall. Manage images for awards and publications and update various department web pages.SPECIFIC RESPONSIBLITIES:Administration and Finance:•Manage and develop reports related to book sales, using the contracted booksellers web site•Manage contracts for publications, professional development, and advisory services, following up with invoicing and payments•Manage certificate program, registrants, and test takers•Work with professional development staff and customer service to manage/maintain continuing education credits with AIA and AICP;•Follow up with Advisory Services panelists, which includes all correspondence (i.e. sending out thank you letters and questionnaires)•Process reimbursements for staff and non-staff travel; occasionally arranging travel•Provide routine administrative support to the Education & Advisory Group, including, but not limited to: receiving, sorting and replying to routine incoming correspondence, maintaining Group calendar; organizing department, inter-department wide and department-sponsored meetings providing full logistical support and coordinating with support staff of other departments as necessary; interacting with ULI’s staff and members, in a courteous and professional manner on behalf of the SVP; preparing invoices, expense reports and payment vouchers; and performing other routine clerical duties, such as, information research, filing, faxing, photocopying, data entry, meeting support, information/report preparation and distribution•Act as department liaison with ULI’s resource departments, such as IT, Finance and Fulfillment services, as needed•Maintain an accurate knowledge of ULI’s office policies and practices and relay these to department staff, as needed, to be implemented in performing their day-to-day duties in meeting the department’s overall goal in relation to fulfilling ULI’s global missionWeb Content Management and Image Support:•Assist Awards and publications in manipulating, indexing, and storing/filing electronic images•Assist with updates on five group websites•Limited assistance with preparing material in graphic form, using charts, tables, PowerPoint and other presentation tools•Become skilled at using ULI’s database system: NetforumResearch:•Limited on-line research skills related to fact-checking for publications in the real estate and planning areas;Event Planning: •Manage food and beverage, registration materials, and staffing registration for programs (workshops, forums, competitions, etc.) held in the office and occasionally out of town;•Coordinate the activities of the Education & Advisory Group with the activities of other staff of ULI, where possible.REQUIREMENTS:•Bachelor’s Degree in Urban Planning, Urban Economics, Journalism or related degree preferred.•Excellent organizational, research, and administrative support skills. •High level computer literacy, with a special emphasis on image manipulation, using the Internet as a research tool. •Ability to quickly adapt to shifting duties and responsibilities. •Outstanding interpersonal and communication skills. •Must be energetic, detail-oriented and able to work in a high production environment requiring management of multiple tasks.
