Pensions & Investments Events Manager
The events manager is responsible for planning and executing high-quality, executive-level meetings and events for P&I. This individual will handle RFPs, in addition to negotiating contracts with external vendors and hotels. The events manager will work closely with event sponsors to ensure all elements of sponsorship are fulfilled and will serve as the main customer relationship manager for event sponsors. This individual works closely with senior leadership to ensure that all events meet their objectives, and serves as an ambassador for the P&I brand, working closely with attendees and sponsors to ensure an excellent experience. The position requires an individual with conference management and CRM experience who is detail-oriented, an excellent multi-tasker, a good time manager who can prioritize well, possesses excellent communication skills and the ability to work well both autonomously and with a team. Responsibilities & Duties Include:•Manage events, meetings, award ceremonies and seminars from site selection through post-event surveys and budget reconciliation.•Manage online registration process and reporting•Negotiate contracts with numerous external vendors, hotels, A/V companies, etc.•Develop and implement schedules and methods that support the successful execution of all events.•Oversee flawless on-site management that achieves brand goals.•Collaborate with other Marketing functions to ensure appropriate materials are present at events to support/enhance the P&I brand/image, including signage, workbooks, handouts, etc.•Manage third party vendors, including hotels, caterers, AV, and others, as necessary.•Manage sponsor relationships and fulfillment with regards to all event sponsorships•Travel required.Qualifications (Skills, Knowledge & Abilities):•4 to 6 years of experience in meeting and event planning.•Experience in financial services industry is an advantage.•Experience in media industry is a plus•Bachelor's Degree required.•Ability to plan high-quality, professional meetings and events from beginning to end.•Strong negotiation, project and time management skills. •Budget oversight - management, analysis and reconciliation•Responsible for managing relationships with third-party vendors and agencies to ensure well-executed, highly professional events.•Demonstrated ability to identify opportunities for innovation and continuous improvement, and to get things done in a timely manner.•Thorough knowledge of contractual language pertaining to meetings and events.•Superior organizational skills and attention to detail.•Poised and confident manner as position interacts with senior level executives.•Ability to work independently with minimal supervision and also as part of a team.•Willingness to provide outstanding customer service. A flexible, "can do" attitude.•Proven ability to plan, manage, and execute multiple projects and timelines simultaneously.•Ability to meet tight deadlines and works well under pressure.•Uses good judgment and can act independently within specific parameters/guidelines to support the execution of activities.•Articulate with strong written communication skills•Effective at approaching old processes from new angles to develop greater efficiencies and enhanced results.•Computer proficiency in Microsoft Word, Excel, PowerPoint a must. Experience with InDesign and other Adobe suite products a major plus.•Experience with various event registration software platforms a major plus.
