Responsibilities:
•Oversee daily schedule of 4 Practice Leaders while keeping them informed, prepared and on time for meetings
•Organize meeting rooms, order food and plan events
•Book travel, prepare and reconcile expense reports, assist in entering hours into time tracking system
•Data entry projects, including uploading client information and contracts to central database and updating media lists
•Gather background material for meetings and distribute in advance for each practice leader’s meetings
•Provide general administrative support around marketing efforts (reservations, meals, gifts, tickets)
•Liaise with IT group regarding technology issues (calendars, computers, printers, phones)
•Serve as a backup to reception weekly
•Assist with personal tasks as requested ; vacation travel, health insurance claims, etc.

Qualifications:
•Prior experience as a professional assistant working for senior level executives
•Strong organizational, prioritization and project management skills
•Excellent written and verbal communication skills
•Ability to work quickly and efficiently with attention to detail
•Remain calm and professional under pressure with the ability to multi-task
•Capable and comfortable working on business and personal items simultaneously
•Willingness to ask questions
•Reliability and timeliness
•Expert knowledge of full Microsoft Office suite of applications
•Experience in a service industry a plus


Education: Bachelor’s degree or equivalent work experience a plus

Reports to: Executive Assistant to the CEO
