The Senior Assistant, Marketing and Communications will provide administrative and operations support for all aspects of the Creative Team. Reporting to EDF’s Creative Director (the department head), the Senior Assistant will help ensure that department work flows smoothly, while providing assistance to our writers, designers, and print/photo/Web editors.

Key Responsibilities

1) Administrative support includes:
•Arrange meetings and conference calls
•Maintain vacation and OOO calendars, schedule travel arrangements, and coordinate logistics for senior level staff with highly variable schedules
•Take and circulate notes from select meetings
•Develop, monitor, and track expense reports for senior department members
•Process consultant contracts and submit invoices
•Provide light research for photo editing, writing research, and production needs as appropriate
•Interface with IT to expedite timely response to technical problems

2) Coordination tasks include:
•Maintain master schedule of key content assignments and deadlines
•Track and report status of all major milestones; liaise with project managers to ensure smooth movement
•Facilitate freelance and vendor hires: Check rates and availabilities; confirm agreements; process invoices
•Compile monthly departmental report
•Traffic and track assets for print, video, and digital projects
•Organize and track photography and other visual assets
•Gather and maintain library of competitive and reference material
•Update project workspaces and shared folders


•At least 4 years relevant work experience in similar position(s)
•Bachelor’s degree preferred. Associate’s degree accepted with additional work experience
•Knowledge of office administrative procedures including standard office equipment
•Proficiency with MS Word, Excel, PowerPoint, and Outlook
•Basic research skills, ability to pick up organizational software and systems, and sophisticated knowledge of internet

•Demonstrated interest in environmental advocacy preferred
