The Event Assistant will provide administrative and operational support for a two-person Events Department, which is currently responsible for marketing and producing 20+ events per year and is growing to include paid webinars as well. The position reports to the Director of Events.

Key Performance Requirements and Duties:
•Take charge of all administrative duties surrounding 20 webinars per year, including list maintenance, set-up, billing/invoicing, link oversight, etc.
•With assistance from Director, create marketing schedules leading up to events.
•Maintain, manage and update all event marketing, attendee and badge lists.
•Deploy marketing emails in a timely manner.
•Make personal phone calls as needed to help generate attendance.
•Oversee shipping of all materials to and from events.
•Provide onsite event help, including manning registration table.
•Handle invoice follow-up.
•Create and update industry events calendar.
•Arrange travel and accommodations as needed.
•Assist with overflow work from other members of the events team.
•Proofread as necessary.

•1-2 years of administrative experience, ideally in a media environment.
•Happy performing normal administrative duties while also demonstrating the ability to take initiative and exercise independent thinking when needed.
•Ability to communicate and interact effectively, efficiently and professionally with management and employees at all levels of the organization and with external clients and contacts.
•Strong customer focus that conveys responsiveness and competence.
•Ability to manage multiple projects and prioritize within a fast-paced, high-volume environment.
•Problem-solving skills and the ability to provide innovative solutions and recommend process improvements.
•Highly organized with strong attention to detail.
•Positive, can-do attitude combined with excellent phone, interpersonal and written communication skills.
•Strong knowledge of online landscape, tools and social media.
•Proficiency in all Microsoft Office programs, especially PowerPoint.
•Four-year college degree.
