President & CEO in Gaming industry has an immediate need for an exceptional Executive Assistant to work in tandem with the administrative support team. The ideal candidate for this position is a polished self-starter with impeccable communication skills (both written and oral). You will provide solid, secondary support to the primary Administrator working with a Research Analyst to manage the CEO work life from a macro level. This 2.5 person team will provide faultless administrative support but also have the ability to accomplish and respond quickly to tasks and demands all while participating in a fun, exciting environment. This individual must have the capabilities to think outside the box and have the proven ability to get the job done. This individual demonstrates the ability to understand what the CEO is asking for and can proactively predict his next question, thus providing information and details in advance of his needs. The duties of this position are extremely diverse and challenging and can range from preparing statistical reports, creating draft presentations, taking meeting notes and following-up on open issues , to handling an assortment of personal responsibilities. You must be prepared to roll up your sleeves and keep this executive going so he can do what he does. The needs of the position may shift on a daily basis, based on business priorities for a given project, etc. You must be willing to travel to/work out of our Mahwah, NJ office on an as-needed basis. You must also be available to accompany this executive on occasional domestic and international travel. Hours are generally 9 am – 6 pm, but you must be flexible to work earlier or later as needed and available to respond to requests via blackberry during off business hours. Responsibilities: -Interact with all levels within the organization and serve as an external communication bridge between the CEO and staff, clients, investors, vendors, etc. -Act as “gatekeeper” by managing all incoming information (email, phone calls, correspondence, and mail); manage flow of communication. -Proven ability to take initiative in appropriate situations; creativity and resourcefulness; comfortable with ambiguity. -Must exercise sound judgment, discretion and confidentiality. -Must be responsive and adaptable in the face of ever-changing schedules/itineraries. -Manage the CEO’s complex calendar, ensuring fluid time management and punctuality of meetings (business and personal). -Coordinate all detailed travel arrangements (airline, hotel, ground transportation, etc.), while ensuring accuracy of travel logistics and proactively minimizing costs. -Maintain accurate filing systems, extensive contact database, manage expense report submission, internal payment requests, etc. -Draft, edit and proofread internal and external correspondence, meeting agendas, meeting minutes, presentations and special projects. -Produce accurate, properly formatted documents and reports, frequently under tight time constraints. -Proactively manage meeting arrangements, handling any conflicts on calendars, and work with other assistants to maximize efficiency. Plan logistics with internal team members and external clients and vendors, etc., ensuring all meetings are arranged, necessary materials are available, and that any special needs are taken care of in advance. -Handle all telephone calls and written correspondence in a professional and efficient manner. -Act as informed deputy in dealing with clients, investors, vendors, and other persons whose good will and respect are of critical importance. -Collaborate with team members to ensure smooth workflow and seamless handovers. -Ability to work as half of a seamless pair but also work independently and self-directed in support of executive. -Excellent organizational skills, computer skills, as well as exceptional verbal and written communication skills. -Demonstrated ability to communicate effectively and professionally with clients, investors and external and internal contacts to the organization. -Ability to interface well with all departments and staff and represent CEO in a highly professional, polite and positive manner. -Confident, detail-oriented, passionate about getting things done. -Careful attention to detail and ability to multi-task. -Ability to stay focused and organized while answering phones, handling requests, checking e-mails, scheduling meetings, retuning phone calls, etc. -Proven ability to work effectively under pressure and stress. -Comfortable working in small but intellectual work environment. -US Citizen, or a valid permanent resident card. --------------------------------------------------------------------------------Education & Experience: -Bachelor’s degree strongly preferred. -7 - 10 years recent experience as business and personal assistant to a “C” level executive in a fast paced and/or entrepreneurial, professional environment. -Proficient with Microsoft Office Suite 2007/2010. Superb Outlook skills and strong proficiency in Work, Excel and PowerPoint; tech savvy with demonstrated ability to quickly learn and adopt new IT systems. -Experience working for an entertainment company preferred, but not required.
