NYIT's Communications and Marketing Office (C&M) is the university's in-house publicity, promotion, editorial, design, web, and event facility. With campuses in Manhattan (Columbus Circle) and scenic Old Westbury (Long Island), the C&M office has staff in both locations and seeks an Assistant to the Vice President who will be based in Manhattan, but will commute occasionally to the Old Westbury campus as well. C&M welcomes bright, innovative candidates ready to meet the challenges of working for a large, complex university and a department looking to take on new and exciting challenges.

The Assistant to the Vice President should be highly creative, dynamic, friendly, technically-savvy, and extremely organized. An independent thinker with an outgoing personality, good analytical skills and excellent judgment, the candidate must be a multi-tasker, able to manage multiple projects and responsibilities simultaneously. This is an ideal position for someone who enjoys the creative, the technical, and the organizational/administrative aspects of an office, feels comfortable working in a high-energy environment, and has an interest in pursuing a career in marketing, communications, design, or publications. This position will work with sensitive or confidential information, and a high level of discretion is required.

*Reports to the Vice President, Communications and Marketing and assists the C&M department Directors as needed.

*Keeps the entire Communications and Marketing office running smoothly.

*Manages the Vice President's schedule and assists with set-up/integration of mobile devices, laptop, and computer, including import and updates of contacts, calendar, and databases. Sets up meetings with multiple parties.

*Assists Vice President and Directors as needed with hiring procedures, benefit issues, and staffing needs. Works with VP to fill out essential forms and oversees vacation schedules and time sheets for everyone in the department.

*Helps assign funding codes to every invoice, balance a multi-million dollar budget, advise on funding availability, and other budgetary responsibilities.

*Assists C&M colleagues with writing, making promotional calls, or events. May be asked to be part of a strategic or creative team as needed.

*Provides administrative support for meetings, events, or activities hosted by C&M.

*Performs related duties as required.


*Bachelor's degree required.

*Two years experience working in an office environment, preferably in a public relations, news, or marketing office. Experience working in an educational, not-for-profit or cultural institution is a plus.

*Pleasant and professional demeanor with excellent interpersonal, verbal, and organizational skills.

*Highly organized approach to work, with the ability to juggle multiple tasks, take initiative, follow through, and exercise good professional judgment.

*Ability to take direction and work as a part of a team.

*Ability to write and speak in a clear and direct style. Experience writing letters and reports essential.

*Facility with numbers, spreadsheets, and budgets.

*Experience with Mac platform and iPhone, knowledge of Word, Excel, PowerPoint, and familiarity with Quark XPress or InDesign helpful. Demonstrated ability using/maintaining mobile devices, laptops, and computers.

*Facility using databases that handle project management, media lists, photography cataloging, and related programs is a plus.

*High level of discretion.

*Excellent retention of information and an eye for details.
