The primary role of an Editorial Assistant in the Encyclopedia Group is to work with Encyclopedia Editors to develop, acquire, and administer content for encyclopedias. The Editorial Assistant will report to the Encyclopedia Director; he/she will be working on projects such as developing new titles, inviting authors to revise for new editions of established titles, and acquiring manuscripts for online updates of established titles. Additional work on program-wide projects and administrative support for editorial colleagues may be included.

ESSENTIAL FUNCTIONS:

Administrative:
•Communicate with authors, editors, and advisory board members by peer review system (Aries' Editorial Manager), e-mail, and phone.
•Motivate academic editors to keep project developing smoothly.
•Support electronic submission, review, revision, and tracking of manuscripts.
•Prepare and send invitations and project information to authors.
•Maintain project databases, including peer review system.
•Keep websites up to date.
•Monitor accurate encyclopedia entry titles for suitability.
•Create materials for effective marketing and sales of product.
•Participate in the development of new titles.
•Review final online and print products.
•Maintain project files, both paper and electronic.
•Conduct Quality Assurance/Quality Control of content.

Corporate:
•Participate in the testing and implementation of systems supporting content management, web publishing, and acquisition activities.

Qualifications:
Prior office experience necessary. Publishing or related experience a plus. Excellent typing and data entry skills needed. Computer literacy essential, including experience with MS Outlook, MS Word, MS Excel, databases, and web-based information gathering. Familiarity with PDF, XML (NLM Book 3.0) and HTML (DreamWeaver) a plus.
