This position is responsible for preparation and issuance of accurate and timely royalty statements to authors, agents, illustrators and other parties, in accordance with licensing agreements. This position will also provide information, reports and schedules regarding royalty calculations/royalty expense, royalty payments and advances to key internal and external parties. Responsibilities require the ability to handle, understand and organize legal agreements and large amounts of data. Position interacts with Authors, Agents, Business Managers, Editors, Legal/Contract department, and other areas including royalty accounting group.

• Process timely semi-annual royalty statements and related activity files:
1. Review & correct contract set-ups.
2. Review Sales data prior to interface to royalty system.
3. Identify & set up book versions not covered at time of contract set up.
4. Post expenses/fees/deductions recoupable from royalty income.
5. Calculate Reserves in accordance with contract terms and company policies and insure accurate posting of all related entries.
6. Perform detailed review of statements for books published to insure accuracy and compliance with contract terms. Insure advances are properly deducted and that accurate earnings are calculated by the royalty system.
7. Identify and calculate manual adjustments and process as necessary.
8. Determine titles with reporting requirements not fully supported by royalty system and prepare manual statements as needed.
9. Distribute select royalty statements to Editorial Departments and business units’ executives for final review.
10. Print, sort and mail royalty statements and related payments due in accordance with contractual due dates.
• Assign & create accounts for authors, agents, illustrators and other participants in the royalty system to allow for input of contracts and advances.
• Review royalty contracts received from contracts/legal department, approve and submit to royalty accounting area for data entry.
• Review and approve all advance payment requests for processing. Assign proper author & payee accounts and insure proper General Ledger coding.
• Interact with business units and other departments to resolve open issues.
• Handle/respond to statement recipients’ inquiries and requests.
• Prepare ad hoc analysis as needed.
• Comply with all US & Foreign tax reporting and filing (1099 and 1042) related to advances/royalty payments.
• Maintain a proficient knowledge of all computer systems required in performing responsibilities.
• Perform other duties and special projects as required.

• Bachelor’s Degree preferably in Accounting/Finance.
• Minimum 3 years Royalties experience. At least 2 years of hands-on experience with royalty statement preparation and analysis. Previous experience in book or music publishing desired.
• Must be analytical, exercise good judgment and able to work independently.
• Strong verbal and written communication skills needed as position serves as liaison with authors, agents, business units and internal departments.
• Strong computers/systems experience. Intermediate to Advanced level Microsoft Excel user.
• Motivated, disciplined, detailed & results oriented, with high personal and professional standards of integrity and ethics.
• Excellent organizational skills, can do attitude, ability to handle multiple tasks, and able to meet required/established deadlines.
