The Executive Assistant for the Americas will be required to:
•Receive mail and/ or telephone calls addressed to department and sort according to priority and related employee.
•Collate and prepare physical and electronic documents.
•Maintain and update the department filing system and or data base.
•Process and track T&E expenses.
•Coordinate travel arrangements for Head of USA Bureaus.
•Manage calendar, schedules and coordinate meetings as required for Head of USA Bureaus.
•Maintain records of all incoming and outgoing correspondence.
•Conduct Internet research on various assignments.
•Maintain files in an efficient and orderly manner.
•Manage all incoming Head of USA Bureaus mail, prepare outgoing mail. Create and maintain "Mail," "Fax," "Signature" folders.
•Provide data input in Word and Excel formats for daily monitoring of projects under Head of USA Bureau's direction.
•Draft correspondence and assist with report content drafting.
•Assist in preparing and managing task lists and team planning.
•Help coordinate meetings and take detailed meeting minutes.
•Provide required secretarial support and administrative assistance.
•Handle requests and enquiries from relevant internal and external stakeholders.
•Build and maintain professional relationships with both internal and external stakeholders.

The desired candidate will have a Bachelor degree in Business Administration or other related fields; a minimum 2 years of professional experience in Secretarial and Office Management. Advanced skills using project management software across multiple projects, Excel and Microsoft office are required. It is also necessary to demonstrate the ability to work under pressure, to meet deadlines and to work in a team environment. Previous experience working in broadcast media preferred.
