•Assist with coordinating all facets of each event; pre-event research and planning, budgeting, on-site communication (room set-up and clean-up in coordination with venue staff, sponsor setup, etc.), post-event debrief/surveying, and lead generation.
•Establish and maintain professional relationships with speakers, sponsors, media partners, vendors, etc. throughout the conference planning process.
•Work closely with company executives on all aspects of conference planning and execution. Prepare reports and updates for weekly executive meetings.
•Help implement and execute all conference marketing including but not limited to, website creation and updates, email marketing, brochures, postcards, agendas, and conference signage.
•Create and maintain multiple databases including past and prospective participants.
•Manage all pre-conference and post-conference follow-ups with speakers, sponsors, delegates.
•Research venues and negotiate agreements with outside vendors and meeting venue companies (audio visual/technical needs, catering, meeting space and set up)
•Communicate efficiently with the company’s marketing, sales and product development teams on scheduling, planning, and event goals
•Coordinate and develop materials to be included and shipped to each event
•Ensure that necessary preparations are in place to ensure that each event runs smoothly and that the company is accurately represented

•Ability to travel is required
•Positive attitude, problem solver, and team player
•Proficient in all Microsoft Office applications
