RESPONSIBILITIES:
Human Resources
- Onboard new employees and facilitate new hire orientations
- New hire set-up and paperwork, address changes, vacation tracking, and timesheet processing.
- Oversee employee performance reviews
- Support recruitment and employee retention efforts
Culture
- Develop and maintain a strong internal and external agency culture
- Plan and organize agency on-site and off-site events, meetings and activities
- Plan and oversee summer and rolling internship program

Finance/Accounting
- Oversee the process flow of A/R, A/P, vendor invoices, check request, and billing worksheets for the office
- Oversee expense report management

Facilities/Operations
- Maintain office premises, coordinating with building management to ensure proper facility maintenance and repairs
- Maintain daily professional appearance of office
- Ensure all new staff are set up appropriately, including work stations, IT, business cards, etc.
- Plan and execute office moves/refurbishment
- Manage and reconcile office services budgets, ensuring adequate inventory of office and kitchen supplies
- Ensure maintenance and servicing of office equipment, computers, phones and IT, coordinating with vendors and service providers
- Negotiate vendor contracts
- Maintain office policies and procedures, implementing office best practices and guidelines as needed
- Coverage of front reception when needed

DESIRED EXPERIENCE, KNOWLEDGE & SKILLS
- 5+ years of administrative experience, preferably at an agency or other creative setting
- Prior bookkeeping experience highly preferred
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Outstanding written and oral communication skills
- Exceptional time management, prioritization and organizational skills
- Solutions-orientated, proactive and able to anticipate needs
- Eager to take ownership of projects, with the ability to manage from start to finish
- Open minded with a friendly attitude
- Entrepreneurial spirit and full of initiative - ready to roll up your sleeves and get the job done
