An Astoria-based production company is seeking a dynamic individual with exceptional communication and organizational skills, independent initiative and flexibility to manage and oversee daily operations of accounting and finance while also offering administrative and scheduling assistance to both the production and post-production teams. Key areas of responsibility include:
Obtain and maintain a thorough understanding of the financial reporting and general ledger structure.
Ensure the timely reporting of all monthly financial information, including but not limited to bank reconciliation, ensuring monthly financial reports include analysis of highlights and provide the information to management.
Carry out all activities related to bill payments, accounts payable, invoicing clients and accounts receivable, and payroll functions, including maintaining fiscal files and records to document transactions in accordance with policies and procedures.
Oversee HR functions with company’s providers: health insurance, 401k.
Oversee insurance renewals and audits.
Manage cash projections, including daily banking requirements.
Coordinate the annual budgeting process with management and work with the outside tax accountant for year end closing.
Prepare for annual audit and serve as primary liaison with audit firm.
Monitor and analyze processes to ensure for efficiency of procedures and sufficient internal controls.
Monitoring revenue and expenses in alignment with the budget, and communicate where actual financial activity is varying from planned activity, as well as track receipts and expenses related to such jobs.
Create estimates for new productions, review contracts and assist with RFP responses.
Assist on occasion with coordinating logistics for shoots and the production team as well as manage schedules and deadlines for the post-production team.
4-year degree in accounting or finance preferred.
Minimum of 3-5 years of experience in managing an organization’s accounting and finance function is required.
Proficiency with QuickBooks online, MS Excel, Google Apps, and other relevant software required, including running payroll with an online payroll service.
Familiar with Positive Pay procedures a plus.
Ability to prioritize and balance multiple projects simultaneously required.
Experience monitoring TV/video production budgets (or equivalent project budgets) preferred.
Comfortable working in a fast-paced but casual organization; interest in the arts and culture.
A self-starter who is good at working independently, but also occasionally in a group effort.
