Job Description:

Hearst, one of the nation’s most diversified media, information and service companies, seeks a Coordinator within the Creative Communications Department. Creative Communications is Hearst’s full service, in-house creative department responsible for company branding, all graphic design services and large-scale corporate projects. The Coordinator will be responsible for supporting the VP of Creative Communications, as well as the entire Creative team. The position requires managing schedules, expenses and correspondence for the VP, as well as assisting the Department with all administrative functions. Additional responsibilities include project management, proofreading documents, and assisting with video shoots, photoshoots and events. The position offers opportunities to interface and handle projects with many other departments, including Executive Management, Marketing, Advertising, Events, and Corporate Communications. The role is administrative as well as creative and provides opportunities for growth.

Day-to-day tasks:

  • Manage Creative VP’s calendar
  • Manage Creative VP’s travel expenses
  • Manage department meetings
  • Manage department calendar/vacation time
  • Maintain data entry of timesheets, invoices, expenses
  • Manage all aspects of billing and payroll processing
  • Coordinate travel for photoshoots, outside meetings, etc.
  • Source materials, estimates, etc. for special projects
  • Arrange catering for meetings and photoshoots
  • Maintain travel reallocations of expenses for department
  • Oversee inventory of office and art supplies
  • Maintain filing systems for group records
  • Maintain department information and records
  • Manage operation and maintenance of office equipment
  • Manage all shipping/delivery

Required Experience:

  • Qualified candidates will have 1+ year experience in this field or a related field
  • Relevant field of study at school – i.e. media, communications, publishing etc., or relevant internship experience
