The Publishing Assistant is responsible for all the administrative needs of a thriving, non-profit artbook publishing company in Santa Fe, NM.
- CRM: keep up-to-date info on all contacts, including artists, writers, customers, donors, volunteers, interns; update all info on shared drive and newsletter master lists;
-Inventory: manage in-house inventory of art books, original artwork, limited editions, and keep track of all items that enter/leave inventory;
-Shipping: work closely with warehouse to ensure proper distribution of individual orders, author copies, and fulfillment for independent bookstores, galleries, and events.
-Invoicing: generate and track invoices via PayPal.
MARKETING AND PR
-work closely with artists and writers to create catalog copy, websites, press releases, and event descriptions;
-create book PDF's, sample images, Dropbox links;
-create unique press/outreach target list for each title;
-work closely with the Communications Director to contact members of the press and secure placements in local, national, and international media.
-participate, promote, and help generate community engagement for Artist Openings & Talks, Donation Days, Paris Photo, Artist Weekend.
-Computer Skills: Microsoft Suite (Word, Excel); Adobe Creative Cloud (Acrobat, INDD, Photoshop); Google Docs; Dropbox; PayPal; MailChimp; WordPress.
-General Skills: meticulous editing and attention to detail in all correspondence and communication; comfortable speaking on the phone and in person with artists, curators, editors, major donors, journalists, customers, and booksellers; equally adept as part of a team or working independently; ability to lift 30-lb. boxes up and down stairs.
