Letterform Archive seeks an Assistant Editor to support key aspects of the Archive’s publishing program, assisting in the development, editing, production, marketing, and fulfillment of all Archive books.

This is a fantastic opportunity for an up-and-coming editor with a passion for design to get first-hand experience in all stages of the publishing process. Reporting to the Associate Publisher, the Assistant Editor will work closely with authors, editors, and designers to assist in the creation of top-notch art books, with the potential for taking on project development for individual titles over time.

An ideal candidate will have served at least two years in an editorial role with an illustrated trade book publisher, with demonstrated editing, writing, and communication skills; sound editorial judgment and creative instincts; eagle-eyed attention to detail; a collaborative mentality; a willingness to work iteratively; and an ability to adapt in a dynamic and deadline-oriented environment.

Above all, the Assistant Editor must love good design and be an enthusiastic ambassador for Letterform Archive in the publishing community and beyond.

About Us

Letterform Archive is a nonprofit center for inspiration, education, and community. We offer hands-on access to a curated collection of more than 50,000 items related to lettering, typography, calligraphy, and graphic design, spanning 2,000 years of history.

So far, we have welcomed more than 5,000 visitors from 30 countries to the Archive, including students, practitioners, and letterform admirers from every creative background. Some come with specific research ideas in mind, while others are simply looking for inspiration. Invariably, thanks to the breadth and accessibility of the collection, they stumble on something unexpected. Serendipity is key to the Archive experience.

In addition to hosting visits and public events, the Archive serves a global community through social media, an online archive featuring state-of-the-art photography, and a book program that draws from the collection as well as publishes new work from its contributors. We offer courses and workshops in type design, calligraphy, and typography. We also curate exhibitions of our holdings and organize lectures by visiting artists and designers.

As a close-knit team of typophiles, lettering lovers, graphic design fans, and book arts enthusiasts, everyone at the Archive — regardless of role — helps in some way to promote the collection, offering tours, assisting at events, and engaging with the design community at large.

Principal Responsibilities

  • Manage flatplans and content-tracking documents
  • Track and maintain schedules in project-management software
  • Organize incoming image assets and manage permissions
  • Create image credits, content listings, notes, and imprint pages
  • Generate and maintain style sheets for each manuscript
  • Manage freelance copyeditors, proofreaders, and indexers
  • Input, check, and track editorial, design, and image changes
  • Traffic book dummies and layouts for approval
  • File for ISBNs, LOC data, and copyright for each title
  • Perform final proofreads and editorial checks
  • Coordinate mailings to contributors, press, and awards counsels
  • Maintain product data in sales portals
  • Obtain shipping estimates for product and premiums
  • Track book order fulfillment
  • Liaise with consumers and vendors
  • Traffic contracts and invoices

Collaborative Responsibilities

In collaboration with the Publisher and Associate Publisher:

  • Participate in acquisitions and pipeline strategy
  • Assist with book proposal creation
  • Conduct competitive analysis for prospective titles
  • Help create and traffic printers’ RFQs, quotes, POs, shipping instructions, and other production documents
  • Assist in sourcing premiums to accompany book products

In collaboration with the Editorial and the Collections/Photography teams:

  • Provide organizational support in the creation of new visuals, including videos
  • Help strategize and draft product-related content for the website and social media
  • Participate in the creation of sales materials and marketing campaigns

Archive Responsibilities

  • Develop familiarity with the Archive’s holdings and fluency in our mission
  • Host introductory and research visits for individuals and groups
  • Present on collection material and publicize Archive programs, publications, and services
  • Be prepared to share the ways guests can impact and sustain the Archive through time, money, or evangelism
  • Attend and provide support at periodic Archive events

Accessibility

The Assistant Editor will frequently be required to sit and perform desk-based computer tasks and file or sort paperwork.

She/he/they may less frequently be required to lift or move items weighing up to 25 pounds; push and maneuver a fully-loaded book truck weighing up to 60 pounds; and stand, climb, balance, stretch, twist, kneel, stoop, bend, or crouch.

Preferred Qualifications

  • Passion for or expertise in an area of specialization appropriate to our collections (e.g., graphic design, book arts, book history, etc.)
  • 2+ years of experience in a similar role, preferably with a trade publisher of highly visual books
  • Excellent written and oral communication skills
  • Exceptional organizational and time management skills
  • Detail oriented
  • Proficient with G Suite, InDesign, and project-management software
  • Bachelor’s degree

Compensation and Benefits

This is a full-time, non-exempt position. Salary range is between $45,000 and $55,000 depending on experience and qualifications.

Letterform Archive pays 100% of full-time employee medical insurance premiums. All full-time employees receive 15 days of paid vacation, 10 paid holidays annually, and accumulate sick-leave days according to San Francisco regulations.

Full-time employees are also able to take Archive classes and workshops free of charge, and receive an annual subvention toward their professional development.
