Temp Abstracting & Indexing Assistant
New York





Fixed Term, 12 months
Full time (35 hours per week)










We are looking to recruit an enthusiastic and highly organized graduate to provide valuable support by building good working relationships externally with various abstracting and indexing partners and internally with e.g. Editorial, Production, Customer Service and Data Delivery System teams  and managing day-to-day administration.










Key Responsibilities





  • Providing assistance in the daily activities of the Abstracting and Indexing Services

  • Reporting to and collaborating with Abstracting & Indexing (A&I) Manager on Abstracting & Indexing data verification processes, coordinating data updates, and ensuring data integrity

  • Working with internal data systems for completeness and accuracy

  • Liaising with external database partners and colleagues in editorial, production, customer service, Date Delivery System departments

  • Assisting in organizing the meetings with various A&I representatives and preparing agendas for the meetings

  • Preparing minutes and maintaining lists of pending items for follow-up

  • Co-ordinating and monitoring projects to ensure timely completion

  • Input of relevant data to systems, such as BFlux, JFlow, CMS etc.






Experience, skills and qualifications










  • Excellent English language skills

  • Familiarity with searching various databases such as Web of Science, PubMed/MEDLINE, Scopus

  • Excellent organizational skills

  • Have excellent communication and team-working skills to deal with people at all levels both in the company and externally

  • Be able to organise and prioritise numerous tasks

  • Be resourceful and proactive in dealing with problems and queries

  • Working with internal data systems for completeness and accuracy.

  • Be numerate and computer-literate, work accurately with a sharp eye for detail

  • Be proficient in the use of office software

  • Punctuality and reliability required, as well as the ability to follow instructions and adhere carefully to established procedures











  • Educated to degree level

  • Familiarity with searching various databases such as Web of Science, PubMed/MEDLINE, Scopus

  • Basic knowledge of bibliometrics

  • Be able to demonstrate awareness of publishing processes
