The Payroll / HR Assistant will report to the Head of Payroll. This position is responsible for facilitating the processing and maintenance of five biweekly, multi-state payrolls, of approximately 900 employees in total, using the Ceridian Dayforce HRIS system.  The Payroll/HR Assistant will ensure the integrity of the payroll process by coordinating the biweekly timesheet approval process and maintaining and auditing pertinent payroll transactional data.

 

 

 

 

 

 

 

 

 

Responsibilities

 

 

 

 

  • Coordinate the biweekly approval of time off requests and timesheets for exempt and non-exempt staff respectively
    Review and audit timesheets on a weekly basis to proactively work with managers to resolve timesheet issues before deadline
    Generate, format and analyze Time and Attendance reports biweekly to spot timesheet errors and email managers accordingly to resolve
    Troubleshoot and respond to time off balance and timesheet inquiries from managers and employees
    Record and audit pay adjustments into Dayforce WFM based upon Leave of Absence report from Benefits on a biweekly basis
    Run and compile miscellaneous reports as needed for payroll, or on an ad hoc basis
    Input additional checks and special payments in Dayforce Quick Entry and update the internal Global Tracker for HR
    Enter and validate commuter benefits deductions
    Provide 401(k) funding information to Finance on a biweekly basis
    Distribute live paper checks to employees on a biweekly basis
    File payroll records in accordance with company and legal retention policies
    Coordinate time off entitlements to ensure system alignment with internal policy and update whenever necessary
    Calculate vacation and sick time carryover balances in accordance with company policies at year-end for Financial accrual
    Respond to ad hoc payroll queries
    Retrieve quarterly Tax Filing reports for all companies from Ceridian and save on shared drive
    Assist in Payroll User Acceptance Testing during system upgrades
    Any other duties that can reasonably be expected of you.

 

 

 

 

 

Experience, Skills, and Qualifications

 

 

 

 

 

 

 

 

 

Essential:

 

 

 

 

  • BA/BS with a minimum of 1 year of professional HR/Payroll experience

  • Working knowledge of integrated HRIS and Payroll Systems

  • Previous experience processing payroll and timesheets

  • Ability to work with and interact well with various departments, levels of managers and employees

  • Intermediate to expert level user of Microsoft Office 2010, specifically Excel

  • Excellent oral and written communication skills

  • Ability to work autonomously and adapt while managing competing priorities to produce quality deliverables and meet tight deadlines

  • Exceptional attention to detail and data integrity

  • Adheres to strict confidentiality requirements and protection of sensitive HR and Payroll data

  • Ability to work well with the HR/Payroll Team

  • Experience in a mid-sized global organization
