POSITION SUMMARY:

The Assistant Editor provides editorial support to Publishing Director and Publishing Editors in the Computer Science Journals team.  S/he receives direction and work assignments directly from the Senior Editor. This is an ideal opportunity for an entry-level candidate eager to gain exposure in scholarly publishing.

Reporting into the Journals Senior Editor, the Assistant Editor must be able to analyze incoming calls/e-mail and provide any necessary feedback and troubleshoot any problems that may arise in the Editors’ absence. S/he must be flexible and able to prioritize, organize and coordinate work assignments and to determine the most efficient way to accomplish each task. Other responsibilities include: corresponding with authors/editors, preparing journal proposals and contracts, maintaining paper and electronic files, managing all accepted journal articles/issue for timely publication and updating future publication plans accordingly. 

 

 

KEY RESPONSIBILITIES INCLUDE:

  • Handle non-strategic issues to maintain scholarly journals: prepare new agreements for Editors, update internal systems, request checks and keep records, maintain Editorial Board addresses.

  • Schedule journal issues and analyze/prepare future scheduling.

  • Monitor peer-review tool to regularly provide updated pipeline data to Publishing Editors.

  • Under the supervision of Senior Editor, fulfilling Editor-in-Chief needs, office point of contact when Editor is traveling.

  • Maintain a large database about guest editors and editorial records for high-volume journals. This primarily includes data entry, but also organize in a transparent way for use by others on the team.

  • Proactively and efficiently handle administrative tasks, ranging from internal systems, group file sharing, journal recordkeeping, to creating management reports for CS Publishing Director as needed.

  • Maintenance of e-files via Sharepoint and Google Docs and other databases for archive and pipeline.

  • Prepare materials for conferences, and board meetings, including assistance in PowerPoint presentations.

  • Develop strong working relationships with colleagues across all departments to coordinate ongoing production, marketing, special sales, HR, conference, and other internal departments deadlines, keeping track of them, and broadcasting to CS team.

  • Perform related duties as required.

 

 

 

 


JOB REQUIREMENTS:

 

  • Bachelors degree with at least 6 months of office experience. 
    1-2 years' experience in either science publishing or journal publishing is preferred.
  • Very strong computer skills required in MS Word, Excel and PowerPoint; database and other software to track projects across a portfolio of journals
  • Laser focus and attention to detail; exhibiting strong organizational and analytical skills are a must.
  • Ability to set own schedule as well as team schedule and follow up on multiple projects as appropriate.
  • Excellent written and oral communication skills; thorough knowledge of office procedures including efficient e-filing.
  • Flexibility and ability to work in a multi-cultural environment.
  • Resourcefulness and proactive problem-solving for fielding queries and directing authors/editors
  • Must be able to act diplomatically in representing Springer.
