Ensures a fluid work environment within the office of the Executive(s) they support by performing administrative/clerical and office management duties. Uses initiative and good judgment; works independently with little supervision and maintains strict confidentiality.

  • Provides administrative and secretarial support for the executive(s) and corresponding department that may include typing, mailing, emailing, faxing, dictation, copying and other essential clerical duties.
  • Maintains executive(s)’ calendar, makes all necessary arrangements for appointments and travel.
  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies, includes acquiring and maintaining technology needs through standard UO procedures.
  • Develops and maintains reports (including expense reports), databases, spreadsheets and/or files as appropriate and required.
  • Screens/prioritizes/directs incoming calls and mail/correspondence taking appropriate actions as necessary.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Perform other duties as assigned.

  • SCOPE: Responsible for coordinating and executing all clerical duties for Executive(s) in order to ensure effective and efficient time management.

    • Proficiency in MS Word and Excel required.
    • Proficiency in MS PowerPoint and Outlook preferred.
    • Proficiency with telecommunication devices (e.g., Blackberry, iPhone) preferred.
    • Familiarity with UO systems is a plus.

    • High school degree or GED is required. Bachelor’s degree is preferred.

    • 3 to 5 years of senior administrative assistant experience required; or equivalent combination of education and experience.
