Coordinator, Programming

 

Team: General Audience Programming

Status: Full-time/Regular/Non-Exempt

 

The General Audience Programming department is responsible for evaluating proposals and projects that are submitted to the National Program Service as well as the editorial development of television programs.  In addition, GA Programming works with other PBS departments to coordinate ancillary and beyond broadcast initiatives and project components.

 

The Coordinator provides day-to-day administrative support for a small cohort from the GA Programming department and serves as a point of contact for the department, providing friendly and efficient customer service to stations, internal staff, and external third parties.

 

Essential duties will include, but are not limited to:

  • Provide administrative support for the department, including answering phones, coordinating calendars for various staff members, making travel arrangements, managing office supplies, distributing mail, e-mail and faxes, fulfilling shipping requests, preparing expense reports, coordinating timesheets or leave reports, making copies, requesting equipment, submitting printing requests, and submitting check requests.
  • Keep and maintain well-organized and up-to-date files, both electronic and paper.
  • Screen, route and prioritize incoming mail.
  • Support any program submission functions as needed, including processing of submission forms, database entry, collection of submission releases, and tracking of projects.
  • Assist with event planning in support of various conferences and/or festivals.  
  • Respond to phone inquiries from producers, station personnel, other PBS departments, and viewers regarding various types of programs, submitting procedures, and services involving the programming operations.  Direct inquiries to appropriate staff. 
  • Provide administrative support for meetings, including coordinating schedules with participants, making A/V and food arrangements, reserving meeting/conference rooms and hotels sites, following up with appropriate parties, etc.

Requirements for success:

  • 2-3 years’ administrative experience or equivalent in a fast-paced environment.
  • Associate degree in business, communications or related field, or equivalent combination of education and experience.
  • Organized and detail-oriented with the ability to prioritize multiple tasks.
  • Discretion with regard to confidential information
  • Customer Service orientation
  • Ability to take initiative to solve projects
  • Strong interpersonal relations skills
  • Attention to detail and resourcefulness
  • Mastery of Microsoft Office, including Word, Excel and PowerPoint is a must
  • Strong writing skills
  • Familiarity with standard office equipment
  • Strong typing skills
  • Excellent written and verbal communication skills
  • Ability to work comfortably, confidently and productively to meet deadlines
  • Familiarity with standard office equipment
  • Interest in Public Media
