Job Purpose

SmartBrief has recently been acquired by Future plc, a global media business. As part of the acquisition, we are now looking for a brilliant Office Manager to join our Washington DC office to play an integral role in supporting the teams and executives with administration and office management tasks.

This is going to be a busy role so you will need to be organized and efficient! Previous experience in a similar office manager/executive assistant role in a fast paced media or technology business would be really helpful but mostly you will need to have great attention to detail and be a master of spinning plates!

Key responsibilities

  • Primary responsibility for Office Management for DC location and other locations as necessary

  • Manage travel arrangements and Company travel policies for all employees, including cost control, cost centre reconciliation and monthly reporting

  • Provide executive administrative support to C-level executives

  • General administration support to the teams and be the first point of contact for admin queries

  • First point of contact for phone calls to main line and all visitors entering office

  • Ad hoc project work as and when required

  • Arranging and attending corporate events 

  • Coordinate team events, meetings, client meetings, dining, etc

What do I need to succeed?

  • Demonstrable administration and office management experience  

  • Excellent interpersonal skills along with confident verbal and written communication skills

  • Proven success at supporting busy and challenging teams, adhering to deadlines

  • Strong IT skills with proficiency in Microsoft Office/ G-Suite and the ability to pick up new systems quickly

  • Proactive and positive attitude even under pressure and managing several competing tasks 

  • Ability to problem-solve and use initiative will be essential for success

  • Works well under pressure – resilient and confident 

  • High attention to detail

  • Flexible, highly adaptable attitude

  • Fantastic organizational skills and time management

  • Expert prioritization skills

  • Has worked in a fast-paced, ever changing environment

  • Good numerical skills

  • Able to work and adapt in an environment that changes at pace

  • Experience with Concur preferred
