Key support for all marketing post-production functions
As part of Focus Features Marketing team, the creative services assistant will be responsible for executive and administrative support for creative marketing finishing. This assistant supports the VP and works closely with the Director and Coordinator of the department, and interfaces with all of UPCO (Universal Pictures Creative Operations) and Focus Features. This includes scheduling and coordination; team meeting management, travel planning, budget and expense reconciliation. In this role, the candidate will work with the Creative Finishing team to ensure effective collaboration and time management. This person would also help the team liaise with internal groups such as legal, music and PR, and external groups.
Assistant to the VP of Creative Services: phone coverage, calendar maintenance, scheduling, travel arrangements and expense reports for VP of Creative Services
Department scheduling for Trailer finishing: work with vendors and other Focus departments to schedule time with Director (DI bays, Mix stages for picture and audio needs.)
Create purchase orders and process invoices for services related to all creative asset creation and delivery, obtaining approval for on time payment
QC asset finishes as last in line prior to shipping for all needs including broadcast and digital media.
Assist Creative Services Coordinator and Director as needed for daily project tasks including Dubroom Request Forms (DRF), courier services, and general communication with all parties as needed.
Maintain database of all hard drives, containing feature and all other finishing materials, as well as finished materials backups
Maintain a database of all legal restrictions for marketing campaigns
Assist department with film screening links working with post production as needed.
Traffic materials to Digital Asset Management system as needed.
Archival log maintenance.
Detail-oriented approach to execution and troubleshooting
Clear, transparent communicator in a fast-paced, layered environment
Ability to flex between detail and strategy
Excellent organizational and multi-tasking skills with the ability to manage deadlines and budgets
Excellent collaboration skills and ability to manage the needs of different departments and their executives
1+ years experience in the entertainment industry, ideally marketing, creative advertising, or post production, including interfacing with multiple clients, departments, etc.
