Reporting to: Design Group Account Director
General Overview
The Studio/Project Manager will work closely with the Group Account Director, Creative Director, Project Managers and Sr. Quality Manager to support and contribute to the day to day studio office facility and supply needs, project management, deliverables and flawless execution. First, quickly get up to speed on studio operational/facility needs and secondly, learn the role of project management, client/agency workflow processes and project management systems to effectively support and lead key assignedprojects, understanding client objectives and concisely communicate expectations to the team in a timely manner. This is an important and unique hybrid role for someone who enjoys multitasking and being a key contributor across multiple agency touch points. The Studio/Project Manager will ensure smooth agency operations, planning and anticipating office facility and supply needs, scheduling team meetings and leading assigned project management needs.
Responsibilities
Studio Manager
Assess office supply needs and order inventory in a timely mannerDevelop and manage key documentation, facility/vendor and supply order historySupport and coordinator any and all facility needs working with Property Management companySchedule/attend agency/client meetings, order catering, plan and manage team eventsAssist Group Account Director and Creative Director with facilities, IT needs for new hires or existing team needsSupport Group Account Director with expense report management for any studio and travel expensesCoordinate and manage new hire onboarding needs working closely with Group Account Director and Creative DirectorAssist in talent search/review for new hire full time and/or freelance needs as is necessaryPROJECT MANAGER
Demonstrate understanding of client’s brands and how each project objectives fit into the overall brand strategyEnsure client expectations and projects are effectively managed: keeping our clients happy, being an invaluable resource, provide timely and successful delivery of brand/project solutions according to Brand Guidelines and brief objectivesDevelop creative briefs and/or ensure the client issued briefs are comprehensive with necessary content to kick off new assignmentsDevelop and issue meeting recaps that outlines key discussion points, requests and/or agreements and key next steps/timing to key team members in a concise and timely mannerAdd value to the strategic development portion of projects including brainstorming sessions, be known as the expert of the category, competitors and target audience behaviors/needsCreate any OOP cost estimates and secure client approvals prior to incurring costsActively identify and suggest workflow/processes improvement opportunitiesProactively contribute to the development and continuous improvements of SOPsStudio/Project Manager - Business Administration
Participate in and support agency business objectives appropriate to role (quality objectives, company policies)Maintain balance and flow of information throughout all departments. Reporting to leadership about current facility and/or workflow and capacity issuesAlert Group Account Director to any facilities and/or workload demands that require immediate attentionSuccess in the role
Success in this role is achieved by consistently demonstrating the ability to be a key resource and contributor to the smooth operation of the agency facility and team dynamic and being an effective project manager, while upholding the Marks Design Pillar Standard of Excellence, manage multiple priorities with internal and external client/agency teams, and make sound decisions to ensure the business moves forward. Establish the reputation of being the go to person for addressing any requestsor solving any studio needs and dependable project manager on key assigned projects.
Education & Experience Requirements
Bachelor degree in Marketing or related fieldMinimum 5 years of relevant Studio and Project Management experience in a design or print production agency or like environmentStrong studio and project management skills with in-depth hands-on facilities and project executional experience working in a fast paced CPG environmentDemonstrated ability to communicate, present and influence office facility needs, project management effectiveness at all levels of the organization across both agency and client teamsExperience in delivering operational and facility office needs and project management client focusedsolutions based on overall business needsSuperior organizational skills with proven ability to manage multiple projects at a time, while paying strict attention to the details and adhering to best practices and brand guidelinesExcellent interpersonal and communication skills, both written and verbalOpen to a flexible work scheduleProficient using Mac OS, and Microsoft Products; and project management/routing programsIdeal Candidate Will Possess
