The Deseret News seeks a smart, dynamic, organized and proactive person to fill a crucial role managing our office and supporting key executives.
The office manager will sustain people and processes to help the company better accomplish its mission and objectives. This job will challenge you to plan carefully and adapt to the unexpected.
This position reports to the publisher and executive editor. It requires a high level of professionalism and interaction with internal and external constituencies, including business and government leaders.
The successful candidate must be equally comfortable working in a formal office setting and in a fast-paced newsroom environment.
Executive supportProvide support for key Deseret News executives: Manage calendars, coordinate schedules and arrange meetings on behalf of the publisher and executive editorGreet guests, prepare meeting rooms, order and set up food, ensure equipment works, etc.Attend and provide administrative support to key executive meetings and some news coordination meetingsComplete clerical and administrative tasks as needed, such as processing expenses, mailing letters and packages, creating and maintaining documents, lists, presentations, etc.Coordinate travel for executivesOther duties as assignedOffice management
Stock and maintain the breakroom, making sure we have the snacks, drinks and supplies on hand to keep our people happy and productiveStock and organize the supply room, ensuring we have readily available the things our employees need to do their jobsCoordinate the work of building and janitorial services to ensure that our facilities, meeting rooms, workspaces and furniture are clean and functionalIdentify and work with outside contractors to complete maintenance and other projectsCoordinate storage needs and ensure storage areas are well organizedAssist in managing logistics for company meals, staff meetings, parties, etc.Oversee remembrances for birthdays, marriages, births, etc.Manage validations for Deseret News visitors and guestsMaintain inventory for company gifts, swag, etc.Other duties as assignedNote: This is a full-time position, requiring four days per week in our Salt Lake City office with the option to work one day each week remotely.
You're a good fit if you:
Have a bachelor's degree or equivalent experienceHave 2-3 years experience as an office manager, executive assistant, administrative assistant or related positionPossess excellent communication skills (written and verbal) and are highly organizedAre proficient in basic computer skills (Mac preferred): email, Microsoft Office, Google Workspace, etc.Have a working knowledge of basic office equipment (copiers, printers, video conferencing, etc.)Can keep a level head under pressure and work quickly to complete assignments efficientlyCan adapt rapidly to changing prioritiesAre able to work alone or as part of a team, and can identify and resolve problems and make decisions with minimum supervisionCan lift 30 lbs.If you are interested in and qualified for this position, please submit your cover letter and resume.
