Job Description
This role is responsible for overseeing both the music administration and accounting functions of a major independent label, ensuring that all financial operations, artist-related payments, and contractual disbursements are executed with accuracy, transparency, and timeliness.
Music Administration Duties:
Recording: Manage artist advances and maintain accurate records of recoupment balances across all active agreements. Ensure all drawdowns and payments are authorized and properly coded.
Marketing: Disburse approved marketing funds in alignment with artist contracts and internal budgets. Coordinate spend tracking and documentation for visibility and control.
Touring: Process tour support and performance-related disbursements per artist agreements, including one-off promotional appearances, showcase payments, and label-sponsored events.
Royalties: Review and process royalty income received from the distributor. Track incoming statements, book journal entries, and handle payments to royalty participants (artists, producers, collaborators). Coordinate the preparation and delivery of royalty statements.
Publishing: Track and collect incoming publishing income (when applicable), ensure accurate allocation to stakeholders, and disburse to writers and publishing partners in line with split agreements.
Accounting Duties:
Accounts Payable: Handle all vendor, contractor, and service payments across departments. Ensure proper coding, approvals, and record-keeping.
Payroll: Manage payroll processing for full-time employees and regular contractors. Ensure all tax filings and withholdings are maintained in compliance.
Transaction Matching: Match downloaded transactions in QuickBooks Online (QBO) to internal records, ensuring financial integrity and reconciling discrepancies.
Bank Reconciliations: Perform monthly reconciliations of all bank accounts to maintain clean books and flag any anomalies promptly.
Human Resources Support: Maintain basic HR records, assist with onboarding/offboarding, and coordinate with external HR providers if needed.
Financial Statement Preparation: Generate internal financial statements (P&L, balance sheet, cash flow) and maintain general ledger oversight.
Tax Preparation: Organize and prepare year-end financial data for external CPAs, ensuring accuracy in classification and documentation for tax filings.
Royalty Review & Audit Oversight:
Coordinate with external royalty accountants to perform regular reviews and audits of distributor statements.
Identify and present discrepancies to the distributor and follow through on resolution, including curing underpayments, correcting metadata, or challenging reporting inconsistencies.
Maintain proper documentation of all royalty audit outcomes and implement best practices for future reporting accuracy.
