Job Title: Service Writer
Department: Service Department
Reports To: Traverse City Service Manager
Working Hours: 8:00 AM – 4:30 PM (30-minute lunch)

Job Summary

The Service Writer plays a key administrative and customer service role within the Service Department. This position is responsible for coordinating service operations, communicating with customers and technicians, managing repair schedules, and ensuring accurate documentation of labor and billing. The Service Writer supports the overall efficiency and productivity of the service team.

Essential Job Functions

  • Research, identify, and order necessary parts for service jobs.
  • Serve as the primary point of contact for customers, providing updates and answering inquiries.
  • Schedule and coordinate repair appointments and technician workloads.
  • Maintain accurate weekly and monthly service reports.
  • Assist in management duties as needed during absences or peak periods.
  • Retrieve and organize service-related information and documentation.
  • Enter labor and billing data into the system for completed jobs.
  • Review and assess labor and billing accuracy per unit.
  • Prepare and provide service quotes to customers.

Qualifications

  • Prior experience in heavy-duty truck parts or diesel truck service is required.
  • High school diploma or equivalent.
  • Strong communication, problem-solving, and interpersonal skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Proficient in basic math and literacy.
  • Competent computer skills, including familiarity with service management software.

  • Lifting/Carrying/Pushing/Pulling:
    Occasionally required to lift, carry, push, or pull items up to 30 pounds, such as parts, files, or office supplies.
  • Walking/Kneeling:
    Frequent walking throughout the facility is required to interact with technicians and retrieve documents. Occasional kneeling may be necessary when accessing lower storage or inspecting vehicles.
  • Speaking/Hearing:
    Constant verbal communication is required with customers, technicians, and vendors. Must be able to hear and respond effectively in a busy service environment.
  • Reaching/Handling/Climbing:
    Occasional reaching and handling of documents, parts, and tools. Climbing is rare but may be required to access elevated storage or vehicle platforms.
  • Visual Requirements:
    Must be able to read and interpret service orders, parts catalogs, and computer screens for extended periods.
  • Work Environment:
    Primarily office-based within a service shop setting. Exposure to noise, dust, and diesel fumes may occur when walking through the shop.
