Our Blood Institute is seeking a Publicity Fulfillment Coordinator who will support the Publicity & Promotion Operations Manager by coordinating key administrative, operational, and customer service functions. The position is essential to ensuring smooth day-to-day functions across multiple areas including publicity, promotions, office, and multiple online store fulfillment channels.

Location: Oklahoma City, OK

Salary: Competitive pay based on education and/or experience and $500 bonus after 6 months and $1,000 bonus after 1 year!

Days: Monday through Friday

Hours: 8:00 a.m. to 5:00 p.m.

Qualifications

• High School Diploma or GED required
• Highly proficient knowledge of Microsoft Office products including, Word, Excel, Outlook, Publisher and PowerPoint
• Knowledge of Adobe InDesign and Photoshop preferred
• Demonstrate critical thinking skills
• Outstanding verbal and writing skills
• Possess excellent proofreading skills
• Excellent communications and relationship management skills
• Confident, dependable, attentive to details with results orientation
• Attention to detail and extremely organized
• Experience with managing multiple priorities and programs
  
  

Primary Responsibilities

Promotional Customer Service & Support

• Respond to internal inquiries and support tickets regarding promotional items, sizes, and availability.
• Track, document, and follow up on promo-related customer service issues.
• Provide support for returned promotional items and processing replacements or point reimbursements.
  
  

Office & Administrative Support

• Maintain inventory of general office supplies and manage reordering schedules.
• Provide support for interoffice shipping needs and logistics.
  
  

Publicity & Warehouse Supply Management

• Track usage and reorder thresholds for publicity supplies, labels, and promotional inserts.
• Coordinate inventory transfers between storage locations and fulfillment hubs.
• Ensure warehouse materials are packed and staged for publicity needs in a timely fashion.
  
  

Online Store Fulfillments

• Support fulfillment processes for multiple storefront orders.
• Monitor order flow and escalate any stock, shipping, or fulfillment issues proactively.
• Serve as liaison between donor services and promotional fulfillment workflows.
  
  

Basic Financial Reconciliation

• Collect, organize, and submit receipts related to promotional purchases and shipping expenditures.
• Assist in reconciling expenses for monthly/quarterly financial reports.
  
  

Publicity & OKC Mobile Fulfillment Backup

• Serve as backup support for daily packing of promotional shirts and items for OKC Mobiles.
• Assist in urgent publicity order fulfillment during peak periods or staff absences
