Proposal & Marketing Coordinator

The Proposal & Marketing Coordinator will support business development and marketing efforts across the organization. This includes assisting with proposal responses, preparing presentation materials, conducting market research, and maintaining marketing collateral and databases. The role also involves coordinating logistics for events and supporting external communications.

Responsibilities
  • Assist management in developing business development plans
  • Coordinate responses to RFQs, RFPs, and Sources Sought, including technical reviews and qualification documents
  • Prepare client interview and presentation materials (e.g., banners, boards, handouts, PowerPoint, Prezi)
  • Conduct marketing research to support pursuit strategies and suggest PR topics
  • Maintain project experience sheets, team resumes, project photography, and marketing collateral
  • Assist in developing brochures, newsletters, email blasts, and case studies
  • Monitor client sectors to identify potential leads and report findings to the Director of Business Development
  • Collect and share industry and market intelligence with staff and management
  • Manage CRM databases and perform related administrative tasks
  • Assist with tracking and coordination of government and commercial RFP sites
  • Evaluate trade associations and professionals for potential business impact
  • Maintain website and social media content, including photography and articles
  • Track speaker participation and recommend conference and tradeshow attendance
  • Plan and coordinate logistics for conferences, meetings, and trade shows
  • Assist with research and preparation of award submissions
  • Maintain active memberships in relevant professional organizations
  • Represent the company at 57 externally sponsored, industry-relevant events annually
  • Perform other duties as assigned
Required Skills and Experience
  • 34 years of experience in proposals or business development
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
  • Strong organizational skills and ability to manage multiple tasks
  • Ability to conduct webinars using Teams, Zoom, or Webex
  • Effective communication and listening skills
  • Ability to work in a team environment and provide customer service

Pay and Benefits

The pay range for this position is $55000.00 - $60000.00/hr.
