The Job
Assistant Managers work to perform collection-related tasks for all balances owed to the community and act as Community Manager in the absence of the Community Manager. Additionally, Assistant Managers work to attract potential renters, present apartment homes to prospective residents, persuade them to lease, and assist with the process of leasing and moving into an apartment home within the community. Also, Assistant Managers work to ensure a positive resident experience while living in the community throughout residency and move-out. They also assist with curb appeal and organization tasks as needed.
Responsibilities
- Financial and operations responsibilities related to collections, delinquencies, deposits, and lease administration as described below.
Financial & Operations Responsibilities
- Delinquency: complete delinquency notes weekly and save on the Y drive by end of business Friday; monthly delinquency performance target typically 0 to 1.5% of total billed income.
- Late Fees / NSF Fees: bill NSF fees within 24 hours of notification from Accounting or Yardi; bill late fees daily to delinquent accounts per lease.
- Deposit IQ / Collections: file claims immediately for skips/ evictions; file after 30 days following a standard move-out unless a payment arrangement is secured; accounts without Deposit IQ may be turned over to third-party collection after 30 days if no arrangement; track other income and meet budgeted/other income expectations.
- Deposit accounting: complete all deposit accountings within 3 business days of vacancy; aim for zero errors in monthly deposit accounting batches.
- 3-Day NTV: distribute 3-Day NTV for all full balances owed by the 5th of each month; save copies in resident files and attach to Yardi monthly.
- Evictions: file evictions or establish Eviction Hold-Off Agreements by the 12th; terminate Hold-Off with payment in-full by the 20th; file eviction by the 21st for residents not meeting terms (subject to Regional Manager override); attach all related documents to the resident account in Yardi and the resident file; bill legal fees by Month End Close Out.
- Small Balance Notices: distribute notices by the 7th of each month; ensure notices are in the resident file and documented in Delinquency Notes.
- NSF Payments: notify residents within 24 hours of NSF payment; if full balance owed, deliver a 3-Day NTV; attach all notices to the resident account in Yardi.
- Lease Audit: maintain no more than two errors per lease file batch submitted for commissions; ensure charges match lease charges in Yardi.
- Refunds / Write-offs: mail refund checks within 30 days of vacancy; complete write-offs after 30 days of vacancy.
- Month End Close Out: complete Month End Checklists by the 25th of each month and save on the Y: drive by the due date.
Essential Job Functions
- Stay on the cutting edge of market conditions, trends, and product knowledge; ensure leasing staff maintain the same knowledge.
- Oversee and direct efforts to maximize rental income and occupancy through sales and marketing plans.
- Show, lease and move in prospective residents.
- Update unit availability daily to provide an accurate list of unit availability to the leasing staff.
- Adhere to CLEAR Property Management standard operating procedures.
- Receive and collect all rent and receipts in accordance with company standards.
- Provide clerical and phone support; maintain all resident files and ensure documentation is complete and accurate.
- Maintain calendar of scheduled move-ins; ensure move-in appointments are completed and apartments inspected for compliance prior to move-in.
- Prepare and deliver all legal and formal notices in accordance with state law and company standards (late notices, change-in-term notices, notices of violation, etc.).
- Resolve resident complaints and direct pertinent issues to the Community Manager as needed.
- Input cash receipts to the appropriate income accounts in the community management system; prepare and generate a list of deposit receipts and amounts.
- Initiate evictions and prepare necessary paperwork; ensure evictions and legal proceedings are followed through to completion.
- Ensure timely collections of all rent receipts through the preparation and distribution of delinquency reports to the Community Manager.
- Communicate effectively with a diverse group of personalities.
- Apply logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions, and take appropriate action.
- Maintain a positive attitude and professional appearance.
- Achieve Fair Housing certification prior to interacting with prospects and residents; participate in training to comply with laws.
- Be able to work evenings and weekends.
- Present self in a neat, clean, and professional manner at all times while at the community.

Knowledge
- Computer proficiency (Microsoft Office)
- Yardi experience strongly preferred
- Strong collections experience
- Bilingual (Spanish and English) preferred
Experience / Education / Training
- High school diploma or equivalent; a college degree is a plus but not required.
- Fluent reading and writing in English; ability to perform intermediate mathematical functions and use on-site resident management software.
- Two years minimum experience in residential property management or related field.
