Marketing Assistant - Full Time

University Village Thousand Oaks . This position is in the Marketing Department. The Marketing Assistant is responsible for the professional and efficient management of the front office and assisting with the logistics of resident moves, supporting the Marketing team with clerical and administrative duties. Responsibilities
Assist with home tours and walk-throughs to prepare future residents for their move. Conduct call-outs to prospective clients with overdue activities to clean up the lead database. Complete pre move-in and post move-in checklists to ensure homes are ready for move in. Orient new residents to the community and ensure a smooth transition to the operations team. Organize detailed records of current and future depositors, assist in processing sales paperwork, update the database, and create files. Ensure inventory for brochures, collateral, and other essential supplies is available and up-to-date. Maintain and order office supplies, as directed. Additional Duties
Answers a multi-line telephone and voice-mail system. Greets customers upon arrival, communicates with internal departments and residents, assisting as needed. Supports the Marketing Director and Marketing team with general clerical duties including copying, scanning, faxing, collating, organizing, creating brochures, mailing newsletters, etc. Prepares and processes incoming and outgoing mail. Maintains Excel spreadsheets and other reports as necessary. Assists with planning and coordinating on- and off-site marketing presentations and events, including venue selection, menu planning, invitations, RSVPs, valet and other vendor logistics. Assists with completion of Move-in Paperwork as needed. Performs additional duties as assigned. Qualifications
Minimum three years administrative support experience, at least one of which was in a sales environment. Excellent customer service skills Excellent written and verbal communication skills. Strong organizational and time management skills. Strong attention to detail. Ability to handle multiple priorities while working in an area of constant distractions Good judgment and problem solving skills. Strong computer skills, including Microsoft Office Suite (Word, Outlook, and Excel). Ability to learn new computer applications such as SalesForce and Smartsheets and BlueFingerprint. Associate or other college degree a plus Compensation and Benefits
