Overview

Assistant Community Manager position at The Morgan Group. This role supports the Community Manager in day-to-day operations of the community, aiming for high professionalism from all team members in the office and on-site.

Essential Job Functions

  • Assist the Community Manager in the management of day-to-day operations to achieve professionalism across the team. Responsibilities include:
  • Adhere to MORGAN’s Leasing and Marketing, Management and Operations, Maintenance, and Emergency Procedures manuals along with the Team Member Handbook.
  • Operate the office in a professional, clean, uncluttered, and well-staffed manner.
  • Maintain office and resident files (paper and online) in a confidential and secure manner using MORGAN standards.
  • Meet with the Maintenance Supervisor and other maintenance team members regarding service requests and community maintenance.
  • Safeguard and deposit all monies received on the community and enter them into the system per MORGAN standards.
  • Supervise the leasing team in the absence of the Community Manager.
  • Comply with all training requirements for this position.
  • Maintain and encourage excellent resident relations by all team members, including:
  • Attend to resident comments and/or complaints promptly.
  • Ensure team conduct is professional and friendly to residents while upholding MORGAN’s standards of non-fraternization.
  • Prepare move-in paperwork, keys, and remotes for new residents.
  • Inspect make-ready apartments prior to move-in.
  • Maintain the resident renewal program as directed by the Community Manager.
  • Foster a sense of community within the property.
  • Assist the Community Manager with the service team, including:
  • Monitor timely completion of service requests.
  • Inspect market-ready apartments to ensure quick turnaround and compliance with MORGAN standards.
  • Monitor electric, water, and gas bills and report discrepancies to the Community Manager.
  • Manage bookkeeping and rental collection, including:
  • Submit payables to accounting per MORGAN standards.
  • Assist in the preparation of monthly financials.
  • Collect rent in a timely manner per the lease.
  • Ensure compliance with Community Policies and lease agreements, respond to violations, communicate with residents, and take appropriate legal action when necessary.
  • Assess move-out condition of apartments and issue final account statements with disposition aligned to lease requirements; charge damages/fees when necessary and forward to collection as needed.
  • Monitor the community for compliance with Fair Housing and ADA laws.
  • Assist the Community Manager in creating and monitoring marketing for the community, including:
  • Know and understand the sub-market, including competing properties, rents, specials, occupancy, and management companies.
  • Supervise the leasing team during tours and closing techniques.
  • Monitor the leasing team’s follow-up on all leads.
  • Ensure team members adhere to fair housing standards.
  • Perform all Essential Job Functions as outlined in the Leasing Consultant job description as business dictates.
  • Work overtime as necessary to meet MORGAN standards of customer service.

Physical Requirements

  • Prolonged standing (33% to 100%).
  • May perform bending/stooping/squatting/kneeling and routine office duties such as filing; ability to access upper and lower cabinets; inspect and show the community; climb stairs; push/pull; reach above shoulders; grasp/dexterity for typing and handling materials.
  • Lifting/carrying weight expectations vary (over 50 lbs with assistance; occasional up to 50 lbs; 10-25 lbs frequent; under 10 lbs frequent).

Note: Lifting over 50 lbs may require assistance. Use of PPE (e.g., back brace) when necessary.

Vision Requirements

  • Constant need to read reports and view computer screens; frequent need to see small detail and items at arm’s length.

Hearing, Speaking and Written Requirements

  • Constant need to receive/give instructions and communicate with staff, residents, vendors, etc.; written communication with residents, staff, vendors, corporate, and prospects; ability to read, write, and understand English.

Driving Requirements

  • Frequent need to use personal transportation for reports, deposits, and site visits; occasional after-hours emergencies; valid driver’s license, insurance, and car registration required for business use.

Working Environment

  • Mostly indoors; frequently outdoors in all weather conditions; occasional exposure to fumes and solvents; PPE usage as necessary.
