Responsibilities & Duties
The marketing coordinator will demonstrate understanding of the proposal/procurement process within the AEC industry. They will lead pursuit teams in developing proposals and presentations to secure projects across various service lines. The role requires learning our services, value propositions, and structure to effectively present our qualifications. The candidate should be excellent at time management and motivated by growth.
Qualified candidates will have experience in architecture, engineering, construction, environmental, or similar industries.
- Read RFQ/P documents thoroughly, prepare proposal checklists, and identify action items.
- Experience with CRM databases like Microsoft Dynamics, Unanet, or Deltek Vision preferred.
- Experience with Adobe InDesign; knowledge of Photoshop and Illustrator is a plus.
- Understand SF 330 / Architect-Engineer Qualifications process (preferred).
- Lead pursuit teams, develop strategies, assign responsibilities, and establish deadlines.
- Prepare presentations and coach teams for client interviews.
- Track project leads and update CRM information regularly.
- Develop marketing materials highlighting capabilities.
- Conduct background research and gather supporting materials.
- Create high-impact graphics for proposals and presentations.
- Perform quality control reviews of proposals.
- Coordinate proposal printing, assembly, and electronic submissions.
- Respond to external proposal requests and coordinate with partners.
- DOT proposal experience is highly preferred.
Qualifications
- Bachelor's degree in marketing, communications, journalism, or related field preferred.
- Pre-employment drug screening; background and motor vehicle checks may be required.
Performance Expectations
- Complete annual training and train backup personnel.
- Attend regular marketing and town hall meetings.
- Follow all policies, coordinate with teams, and monitor ISO compliance.
- Maintain marketing databases, ensure proposal quality, and manage project graphics and content.
- Support client qualification and proposal processes.
