We are looking for an experienced Event Planner/Coordinator to join our team in Orlando, Florida. In this role, you will oversee the planning and execution of events ranging from conventions to conferences, ensuring seamless logistics and a memorable experience for attendees. The ideal candidate will bring creativity, strong organizational skills, and expertise in managing vendors and budgets.
Responsibilities:
• Plan and oversee multiple events at different stages of development, ensuring all timelines are met.
• Conduct research to identify suitable venues, vendors, and event concepts, securing necessary contracts and documentation.
• Manage the logistics of live, hybrid, and virtual events, including venue selection, vendor coordination, and scheduling.
• Collaborate with internal teams to define event objectives, attendee lists, and required materials.
• Build and maintain relationships with suppliers, sponsors, and performers to ensure high-quality execution.
• Monitor production schedules and ensure deliverables are completed on time.
• Prepare and distribute event materials, such as agendas, presentations, and promotional items, while ensuring adequate supplies are onsite.
• Track budgets, reconcile expenses, and provide financial oversight for all events.
• Provide onsite and virtual support during events, including setup, guest experience management, and post-event teardown.
• Evaluate event performance, gather participant feedback, and compile reports on outcomes.• At least five years of experience in event planning and coordination for conventions, conferences, or large-scale events.
• Proven experience in vendor management, including sourcing and negotiating contracts.
• Proficiency in Microsoft Office Suite.
• Exceptional organizational and time management skills, with the ability to handle multiple complex projects simultaneously.
• Strong attention to detail and problem-solving abilities to address challenges effectively.
• Ability to perform well under pressure and adapt to changing circumstances.
• Excellent interpersonal skills to identify client needs and provide creative solutions.
• Willingness to travel extensively and manage transportation logistics as needed.
