Position Summary
We are seeking a high-energy, proactive Office Manager to lead our operations and oversee all aspects of clinic administration. The right candidate is organized, detail-oriented, and confident — someone who thrives in a leadership role, communicates effortlessly with patients and staff, and can balance the details of daily operations with the big-picture growth of the business.

Key Responsibilities
- Clinic Leadership & Oversight
- Supervise daily operations and ensure a smooth, efficient workflow across all departments.
- Lead team meetings, establish clear expectations, and keep staff accountable.
- Anticipate challenges and resolve issues before they impact patients or workflow.
- Patient Experience & Communication
- Serve as the first point of contact: warmly greet patients, manage calls, and handle scheduling.
- Support patient inquiries related to care, billing, or insurance.
- Ensure a welcoming, professional environment that reflects the clinic’s high standards.
- Marketing Analysis
- Business & Operations Management
- Handle payroll, staff scheduling, and vendor relations.
- Manage supply ordering and clinic inventory.
- Track KPIs (new patients, retention, collections, etc.) and provide reports to the owner.
- Implement office policies and improve processes to enhance productivity.
Qualifications
- Proven experience as an Office Manager, Practice Manager, or similar leadership role (healthcare/medical office preferred).
- Strong leadership and team management skills; able to motivate, coach, and hold others accountable.
- Knowledge of insurance verification, billing, and patient account management.
- Excellent communication, customer service, and conflict-resolution skills.
- Highly organized, detail-oriented, and able to juggle multiple priorities.
- Professional, energetic, and approachable personality with a patient-first mindset.
- Experience in marketing or social media management (helping promote clinic events, posting updates, etc.).
- Sales or patient retention experience — able to confidently explain care plans or package options.
- Background in HR, recruiting, or staff development.
- Familiarity with chiropractic, rehab, or fitness industries.
- Bilingual is a strong plus in serving our community.
Others
Previous experience in marketing, social media management, or a related role (healthcare, fitness, or wellness industry a plus).
Strong understanding of social media platforms (Instagram, Facebook, TikTok, Google Business).
Ability to create engaging content (posts, short videos, reels, stories, graphics).
Basic knowledge of running and optimizing paid ads (Facebook Ads Manager, Google Ads).
Excellent communication skills — both written and verbal.
Strong organizational skills with the ability to manage multiple campaigns and deadlines.
Comfortable interacting with patients and capturing media (photos/videos) in a professional, HIPAA-compliant way.
Bonus Skills (Highly Valued, But Not Required)
Experience with Canva, Adobe Creative Suite, or other design tools for graphics and branding.
Basic video editing skills (Reels, YouTube, TikTok editing).
Familiarity with SEO, email marketing, or CRM systems.
Experience tracking analytics and generating reports to measure ROI.
Interest or background in chiropractic, fitness, or athletic performance industries.
Bilingual skills (Spanish, Mandarin, or Tagalog) to better engage with our community.
