AAHA Studio is looking to fill the Studio Manager role. We are seeking candidates who share our core values: Passion, Curiosity, Dedication, Teamwork, and Responsiveness. The position offers opportunities for professional growth, to lead and implement operational improvements for the firm, and to contribute to the communities we serve.

The Studio Manager will cover a wide range of responsibilities including general office, administrative, and marketing support. The general scope includes tasks and responsibilities that the candidate is expected to grow into. Not every task will be required daily, and prior experience with all tasks is not expected. We welcome applicants who are eager to learn, grow, and develop within the position. Strong communication skills, organizational and information management abilities, and comfort with learning and using software and technology are important (Office suite, Adobe suite, Squarespace, Dropbox, Slack, QBO, Monograph). A successful candidate is curious, technology-savvy, a proactive self-starter, detail-oriented, and thrives on organization.

[General Office]

  • General office upkeep
  • Receive incoming phone calls and in-person clients and visitors
  • Receive and distribute incoming mail and deliveries; manage outgoing mail and deliveries
  • Assist firm partners and staff with scheduling and miscellaneous project-related tasks
  • Coordinate firm events (team lunches, celebrations, continuing education events, etc.)
  • Coordinate with outside vendors

[Administration]

  • Maintain office filing systems (paper and digital)
  • Maintain firm’s Employee Manual and HR files
  • Lead on-boarding of new staff
  • Coordinate with firm’s insurance providers
  • Prepare and send out monthly invoices to clients
  • Coordinate with bookkeeper, including reviewing monthly deposits and invoices
  • Maintain professional licenses and registrations
  • Maintain standardized office forms
  • Assist firm partners with new project proposals and contracts
  • Maintain studios schedule related to new client meetings, and marketing / press related events
  • Conduct initial intake meetings with potential new clients
  • Manage the time keeping and project management platform (Monograph)
  • Track project progress with project managers and firm partners
  • Assist project managers and firm partners with project scheduling and team availability

[Marketing Support]

  • Coordinate with the Studio’s PR team to ensure all press requests and deliverables are prepared as needed and ahead of deadlines
  • Coordinate project photoshoots and provide on-site support as needed
  • Manage delivery of award/marketing submittals and proposals
  • Coordinate and implement website updates
  • Instagram and social media planning
  • Assist in research for and development of RFQ submittals
  • Assist firm partners with lectures, conferences, outreach, and travel
  • Create and maintain marketing materials
  • Manage firm profile on multiple client rosters
  • Maintain firm’s graphic standards and brand identity
  • Maintain and update CRM database

[Compensation and Benefits]

  • In-office for the first 3 months followed by a hybrid remote schedule
  • Salary range of $65k – 75k, depending on experience
  • Ten (10) days of paid time off
  • Seven (7) paid holidays
  • Office holiday closure the last week of the year (exact dates vary)
