Job Summary:
The EVP, Publicity, Disney Entertainment Television is looking for a highly qualified, creative, and enthusiastic Executive Assistant to provide comprehensive administrative support. Primary duties include maintaining calendar and expense reports, coordinating and capturing notes and next steps in meetings, booking travel arrangements (flights, hotel, cars), distributing pertinent information internally to teams, aiding at events, and maintaining communications with the Hulu, ABC, Onyx, Freeform, NatGeo, Disney Branded Television and Disney Television Studios publicity teams.
The role requires someone who always possesses positivity and professionalism and an innate sense of hustle. This person will be extremely detail-oriented and organized with an ability to multitask a high volume of assignments within a fast-paced environment. Quick decision making and discretion are key. The ideal candidate has an interest in learning more about entertainment publicity from a front row seat, has a highly efficient work ethic and an ability to proactively spot and act on needs within the business.
Responsibilities:
Provide day-to-day administrative support to the EVP, including but not limited to, the following:
Administrative
Manage a high volume of meetings, complete detailed expense reports, and maintain an organized and extensive business calendar
Efficiently organize the flow of information to and from the EVP’s office
Book international and domestic travel, including trip logistics/itineraries and remote support
General office support including submitting drive-ons, supply ordering, distributing mail, filing, photocopying, and managing guest offices
Interfacing with IT for any troubleshooting EVP may need
Project Work
Coordinate staff meetings and work closely with the Manager of Operations on team events
Assist with compiling and distributing DET content announcements and daily
Maintain team contact lists
Support the EVP during press events as needed (e.g., premieres, screenings, junkets)
Tracking premieres and finales for the EVP across the org
Contribute to special projects as needed
Draft and proofread press materials as needed
Internal Relationships
Interact with company leadership, talent and showrunners
Interact with Disney Entertainment Television management and administrative staff
Manage relationships with teams across the EVP’s purview
External Relationships
Interact with press, PR firms, and industry executives
Interact with talent and their publicists or representatives
Basic Qualifications:
1+ years of administrative experience on a high-volume entertainment desk at a studio, network, production company or agency.
Proficiency with Concur, MS Word, Excel, PowerPoint, Outlook, Google Suite
Proven organizational and prioritization skills
Able to discreetly handle highly confidential and sensitive information
Effective communication skills in both verbal and written form
Excellent analytical skills with the ability to exercise appropriate judgment in executing tasks without supervision
Ability to multitask a variety of projects at any given time and manage deadlines independently
Willingness to work overtime as required, including in-person events
Strong interpersonal skills and team player attitude with the ability to interact with multiple levels of employees and clients within and outside the organization.
Interested in the entertainment industry and PR field
Self-motivated and proactive
Preferred Qualifications:
3+ of administrative experience on a high-volume desk at a studio or network
Publicity experience recommended but not required
Required Education:
Bachelor’s degree or equivalent combination of work experience
The hiring range for this position in Burbank, CA is $64,300 to $86,200 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
