Overview
This position is responsible for the circulation department's daily operation, including circulation functions and patron assistance, and fulfilling Interlibrary Loan Requests for students, staff, and faculty as well as other universities. Responsibilities include collaborating in the development and implementation of circulation policies, procedures, and guidelines, along with library policies, goals, and related workflows; providing data for the circulation department to the supervisor; providing library support for academic departments, the University at large, and library initiatives; and participating in special projects as assigned. This position works a non-traditional schedule to assist in providing services to patrons in the evenings: Monday-Thursday 12:30 pm-9 pm, Friday 10:30 am – 7 pm (hours vary between terms and in summer).
Responsibilities
- Coordinate all aspects of resource sharing (interlibrary loan) lending activities, including:
- Oversee user accounts;
- Receive and process incoming requests by students, faculty, and staff;
- Verify library holdings;
- Interpret and verify bibliographic citations;
- Retrieve and evaluate sources;
- Identify potential lenders;
- Initiate requests and monitor through online systems;
- Ensure copyright compliance;
- Scan and transmit;
- Update electronic records;
- Process, package, and ship materials;
- Manage overdue issues and replacement fees;
- Invoice and handle payments for lost/damaged items;
- Communicate with other libraries/document suppliers/requestors/lenders; and
- Manage software and procedures related to shipping (UPS, Tipasa).
- Interact with library staff, faculty, and students as well as other university personnel regarding resource sharing policies and procedures;
- Maintain relationships and correspondence with other libraries, document service providers, and delivery services;
- Ensure adherence to internal and external policies, standards, guidelines, and procedures (U.S. copyright law, the National Commission on New Technological Uses of Copyright Works (CONTU) guidelines, National ILL Code);
- Maintain all required records associated with resource sharing activities;
- Collect data and prepare periodic statistical reports;
- Analyze, interpret, and modify data on Tipasa, OCLC, UPS, and in the integrated library system (ILS);
- Serve as a point-of-contact during evening hours and maintain excellent customer service with students, faculty, staff, and the public;
- Maintain communication with supervisor and other staff;
- Assist patrons with all aspects of library database searching, interlibrary loan, as well as the procurement of any materials cited;
- Assist with data gathering and statistics;
- Contact the appropriate parties when the integrated library system or campus network is down;
- Work closely with the entire library staff, students, faculty, and administrative staff to ensure smooth and cooperative working relationships between the library and the entire campus;
- Perform all other duties as assigned.
Additional Duties
- Work with librarians/staff on various projects;
- Serve on departmental and university committees as requested;
- Assist with activities related to library institutional effectiveness, library assessment support for academic program reviews and other reports, and periodic library surveys;
- Survey construction and implementation, results analysis, report preparation, proofreading of documents, and collection analysis as requested;
- Assist with special projects upon request.
Qualifications
- Bachelor’s degree, required;
- Previous library experience is preferred;
- Experience with library technologies such as integrated library systems and resource sharing platforms, preferred;
- Significant experience with interlibrary procedures and makerspace technologies, preferred;
- Supervisory experience, preferred.
