Overview

Job Title: Service Writer
Department: Service
Reports To: Service Manager
FLSA Status: Non-Exempt

Responsibilities

  • Integrate company values into all daily responsibilities, fostering respectful, clear communication in line with the "One Team" culture.
  • Support the opening and accurate processing of Service Work Activities (SWAs), ensuring technician stories align with posted time and reviewing content for clarity and accuracy.
  • Edit and proofread technician narratives for all customer and warranty SWAs, confirming labor rates, miscellaneous charges, and parts are correctly documented across all work order segments.
  • Prepare work orders for final review by the Service Manager, and ensure timely, accurate closing—including verifying required purchase orders from sales reps, customers, and internal teams.
  • Maintain consistent communication with Service Managers on service-related issues and follow up with other departments to resolve outstanding items or gather necessary information.
  • Stay up to date on all assigned SWAs, including warranty-related tasks in Work In Progress (WIP), and participate in WIP meetings to assist with tracking and follow-up.
  • Provide operational support during team absences and contribute to overall team continuity.
  • Answer incoming calls, direct inquiries appropriately, or take accurate messages.
  • Maintain reliable attendance and punctuality, adhering to scheduled work hours.
  • Perform additional duties as assigned to support service operations and team success.

Education And/or Experience

  • High School diploma.
  • 3+ years experience in the Heavy Equipment Industry.
  • 3+ years technical Service Writing experience preferred.

Physical Demands

  • This position requires sitting, stooping, kneeling, pushing, climbing, moving, and reaching overhead and working overhead.
  • Ability to lift up to 25 lbs. and work inside and outdoors in various climates and temperatures.

Work Environment

  • This position is exposed to work near moving mechanical parts, electrical systems, hazardous materials, fumes, airborne particles, and moderate noise levels. Appropriate PPE gear must be worn as required.

Computer Skills

  • To perform this job successfully, an individual must be proficient utilizing computers including Microsoft Windows, Microsoft Office Suite, Microsoft Internet Explorer and general laptop or desktop computer use.

Certificates, Licenses, Registrations

  • Must have a valid Driver's License to operate company vehicles.
  • The selected candidate is subject to a pre-employment drug screen, background check including MVR and drug screen.
