Reporting to the Sr. Marketing Communications Manager, the person in this highly visible role ensures smooth execution of marketing campaigns, reporting accuracy, and cross-team coordination. Working closely with the Marketing, Sales, and Wealth Management teams, this individual will be the glue that holds projects together, making sure deadlines are met, compliance is handled, and reporting is accurate.

Essential Responsibilities
Project & Process Coordination
  • Manage timelines, deliverables, and schedules for marketing campaigns, events, and projects.
  • Act as the hub for communication between marketing leadership, advisors, creative teams, and external vendors.
  • Coordinate special projects such as seasonal campaigns, client appreciation initiatives, and vendor-supported mailings.
Compliance & Documentation
  • Oversee submission, tracking, and approval of marketing content for compliance review.
  • Maintain organized documentation of approved materials and campaign archives.
  • Ensure content consistently meets brand, messaging, and regulatory standards.
Content & Platform Support
  • Assist with blog and website updates, coordinating with advisors and subject-matter experts when updates are needed.
  • Support social media scheduling and posting aligned with the editorial calendar.
  • Prepare presentation decks, event collateral, and reporting materials.
Sales Reporting & Data Integrity
  • Audit and update internal reports for accuracy and completeness.
  • Partner with the marketing and sales teams to track campaign performance and pipeline activity.
  • Support and document ongoing process improvements for lead tracking and reporting.
Marketing Administration
  • Manage recurring administrative processes (reporting, tracking spreadsheets, meeting prep).
  • Provide coordination support across multi-team and cross-department projects.
  • Assist with campaign reporting, vendor management, and ad hoc needs.

Skills & Qualifications

Technical Skills
  • Bachelor’s degree in Marketing, Communications, Business, or related field (MBA a plus).
  • 1–3 years of experience in marketing coordination, project management, or sales operations support.
  • Familiarity with marketing, project management, and sales platforms (HubSpot, Salesforce/CRM, WordPress/CMS, Asana/Monday/Jira, etc.).
  • Strong Excel and reporting skills; experience auditing data for accuracy.
  • Excellent computer skills including Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
Soft Skills
  • Highly organized, detail-oriented, and accountable — able to keep multiple moving pieces aligned.
  • Excellent written and verbal communication skills; confident working with advisors and executives.
  • Proactive collaborator who thrives in a cross-functional environment.
  • Strong time management and prioritization skills; able to juggle multiple deadlines.
  • A lifelong learner eager to grow into broader marketing operations or project management responsibilities.
Preferred
  • Experience in financial services marketing or professional services environment.
  • Understanding of compliance processes in a regulated industry.
  • Exposure to campaign reporting, analytics, or sales enablement.
  • Working knowledge of Canva or other graphic design tools for projects or cross-functional collaboration
Compensation & Benefits
  • Base Salary Range: $55,000-$66,000/year plus 12-15% target bonus based on company and individual performance
  • 401(k) plan with opportunity to earn up to 7% the first year and 10% with tenure
