Overview
Whatcom Community College invites candidates to apply for the Program Coordinator - Library (Class code 107N). This role manages the reserves collection, conducts journey-level technical services operations, acquisitions and Interlibrary Loan (ILL), and informs employees and students about library services and programs, with emphasis on the reserve collection to increase access to educational materials and support student retention and success.
Responsibilities
- Manage Reserves Collections
- Represent and promote the reserves collection program to departments on campus.
- Plan, organize, and coordinate reserves program.
- Establish and maintain effective working relationships with diverse faculty, staff, and students; especially with Learning Commons colleagues.
- Provide information and technical assistance to reserves program participants and library staff regarding content, guidelines, and practices.
- Analyze and report program operations and outcomes; monitor and report activities; participate in continuous improvement efforts.
- Collaborate with Systems Librarian, Technical Services/Manager, and Circulation Services/Manager to inform reserve workflows in the Library Service Platform.
- Circulation
- Perform circulation desk procedures (checking in/out materials, registering patrons, holds, record maintenance, request queues, etc.).
- Assist patrons with Whatcom Library Collaboration processes and questions; refer to appropriate personnel as needed.
- Provide training and direction for part-time hourly employees and work-study students.
- Perform opening and/or closing procedures for the library.
- Interlibrary Loan (ILL)
- Process WCC patron requests to borrow materials from other libraries; verify citations and search in WorldShare ILL; monitor statuses and receipts.
- Update information in WorldShare and tracking spreadsheets; use Library Service Platform for resource sharing and analytics.
- Process materials for check-out, notify patrons, respond to renewal requests; monitor due dates and return materials.
- Resolve issues with wrong materials, unfilled requests, overdue notices, and lost/damaged items; compile quarterly statistics and title reports.
- Technical Services, Acquisitions, and Purchasing
- Monitor and purchase office supplies using approved vendors; communicate with staff to determine needs.
- Copy cataloging and update holdings in WorldCat; perform technical processing of materials; shelving, shifting, and withdrawal of items.
- Prepare reports; basic graphic design tasks.
Qualifications
- Minimum Qualifications: High school diploma or equivalent, plus three years’ experience in library operations or an equivalent education/experience combination.
- Proficient with Microsoft Office 365 and familiar with a Library Service Platform.
- Ability to move and organize large quantities of library materials (lifting up to ~40 lbs) and navigate shelving and reconfigurations.
- Ability to operate office equipment (tabletop heat press, scanner) and assist patrons with equipment use.
- Ability to walk through the Learning Commons, climb stairs, and retrieve items from various shelf locations.
- Preferred Qualifications: Experience in education or customer service; associate degree in library technology and related library operations experience; experience working with diverse individuals and fostering an inclusive environment; ability to explain complex information; data extraction and reporting skills; ability to establish and maintain filing systems.
Salary and Benefits
- This is a full-time, classified, WFSE represented position. Salary is Range 41, starting at Step C, $3,840.00 per month with periodic increments to $4,771.00 per month.
