While you’ll be a Jack Morton employee, this role will be uniquely embedded with one of our key clients, working with their team on a regular basis. Candidates must be based in the Southern California area and willing to travel to the office in El Segundo at least three days a week.

You are an Associate Producer who will support all aspects of a program successfully delivered to the client. The Associate Producer for the third-party conference team is a key member of Client Marketing & Events (CPS), responsible for supporting the conference planners in the execution of third-party conferences. This role supports the seamless execution of conferences by managing venue sourcing, logistics, swag and materials, vendor onboarding, and budget reconciliation. The Producer combines strong project management and financial tracking skills with cross-functional collaboration to ensure conferences are delivered on time, within budget, and to the highest standard.
What you’ll be doing
- Source and evaluate venues for hosted events, balancing quality with budget considerations
- Track the delivery of conference materials and shipments, proactively addressing and resolving any logistical delays
- Manage swag inventory across multiple regions, including placing regular orders and sourcing new items as needed
- Prepare and reconcile event estimates, budgets, and post-event actuals
- Manage expense reporting and coordinate conference invoice submissions
- Manage the onboarding of new vendors to ensure smooth procurement
- Oversee the ordering and coordination of swag, marketing materials, and other event-related collateral
- Collaborate with cross-functional teams to align on budgets, timelines, and event deliverables
- Maintain accurate records of event assets, inventory performance, and vendor relationships
- Contribute to the continuous improvement of event management processes and workflows
What you’ll bring to Jack
- Bachelor’s degree in marketing, communications, business administration, event planning/hospitality, or a related field
- 5+ years of experience in event planning, preferably within financial services
- Proficiency in Microsoft Office Suite, Zoom Meeting, Cvent
- Strong project management skills with the ability to handle multiple tasks and meet tight deadlines in a fast-paced environment
- Excellent budgeting skills, ability to manage, monitor and reconcile budget effectively
- Excellent verbal and written communication skills
- Highly detail-oriented with commitment to ensuring accuracy and high-quality results
- Accountable, results-driven, and able to take ownership of responsibilities
- Ability to work under tight deadlines
